Position Summary:
Caulfield & Wheeler, Inc. (CWI) is seeking a motivated Marketing Coordinator to join our growing Civil Engineering, Land Surveying, and UAS Operations firm. The ideal candidate will be responsible for developing and executing marketing strategies to facilitate municipal business development.
Starting Salary: $20-29 per hour. (Pay is based on experience.)
Requirements:
- Bachelor’s degree in marketing, communications, OR 2-3 years of relevant A/C/E experience.
- Proficient in Adobe Illustrator, InDesign, Lightroom, Photoshop, and Microsoft Office 365 products.
- Ability to work at our Boca Raton, FL office, and hybrid remote.
- Must have the ability and availability to travel locally and perform multiple tasks.
- Strong project management and organizational skills.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Must be responsible and on time. 40 hours per week. Overtime is available.
- A valid driver’s license and a mandatory drug test are required.
Preferences:
- Familiarity with the civil engineering, land surveying, and UAS industries is a preference.
- Proposal writing experience, including federal forms SF 330/254/255 is a preference.
- The FAA Part 107 sUAS Airmen Certificate is a preferred credential.
Main Responsibilities:
- Tracks opportunities including, but not limited to, RFQ’s, RFP’s, RFI’s, etc.
- Design, coordinate, and produce municipal proposals for RFQs, ensuring all deadlines are met.
- Design and implement marketing campaigns to promote the firm’s services and capabilities.
- Manage a content calendar, including social media, email, and website updates.
- Create proposals including writing, proofreading, editing, formatting, and expediting the process.
- Maintain and organize files, resumes, and projects used in production of proposals.
- Coordination with Prime & sub-consultant firms to gather information for the proposal.
- Database Management: Files, Reports, Images, Pre-qualifications, Technical certifications, Vendor registrations, Licenses & memberships, Contract coordination
Additional Responsibilities:
- Identify Prime Contractor leads and Subcontractor prospecting.
- Scheduling & attending client meet-and-greets and pre-proposal meetings.
- Monitoring and assisting to improve client relations & Surveying client satisfaction.
- Coordinate and attend events (manning table or booth) to promote the firm through advertising, public relations activities, and other marketing programs.

The Civil Engineering section of the firm has had varied experience in the study, design, and construction phases of all types of public and private projects throughout Florida. Specific fields of services include design and construction monitoring of individual, gravity, and pressure sanitary sewer systems; water distribution systems; stormwater management systems; and roadway systems from local to collector roads. Caulfield & Wheeler, Inc. has established an excellent rapport with the numerous permitting agencies and has developed an exceptional track record for acquiring permits through the complex multi-agency process.
The Land Surveying section of Caulfield & Wheeler, Inc. draws from many years of experience in the Southeast Florida area. The scope of services provided range from boundary surveying, topographic surveying, and tree surveys to final construction layout and as-building of completed improvements. Numerous route and location surveys have been performed for the design of roadway, water, sewer, drainage, and utility systems. The associated plats, surveys and easement sketches, and legal descriptions are routinely prepared for all projects. The latest 3-D Laser Scanners are also utilized to provide the most accurate survey data possible.
The Landscape Architecture section offers various disciplines of the field including the preparation of site plans, landscape plans, grading plans, lighting plans, irrigation plans, water, and land use plans and environmental plans. All specifications, calculations, and permits are handled within our Landscape Architecture department. Project experience ranges from single-family estate homes to major subdivisions including entry features, clubhouses, parks, and roadways.
