Position Overview
St. Francis of Assisi Catholic Church is seeking a highly organized, mission-driven Parish Administrator to lead the day-to-day operations of the parish.
This role serves as the operational leader of the parish office, bringing structure to systems, ensuring accountability, and coordinating efforts across staff and ministries. Working closely with the Pastor, the Parish Administrator enables clergy, staff, and volunteers to remain focused on ministry by ensuring operations run smoothly, consistently, and effectively.

Key Responsibilities
Parish Operations & Office Leadership
- Lead daily operations of the parish office, including scheduling, communications, and administrative workflows
- Establish and refine systems that improve organization, efficiency, and accountability
- Coordinate parish activities to ensure alignment across staff and ministries
- Partner with the Pastor to prioritize initiatives and manage competing demands
- Track progress and ensure timely follow-through on key responsibilities and projects
Project & Event Coordination
- Coordinate parish events, initiatives, and special projects from planning through execution
- Develop timelines, monitor progress, and ensure completion of key deliverables
- Identify inefficiencies and implement practical operational improvements
- Plan weddings and funeral liturgies in collaboration with clergy and families, ensuring alignment with Church guidelines
Staff & Ministry Coordination
- Support and coordinate the work of parish staff and ministry leaders
- Serve as a central point of communication between clergy, staff, volunteers, and parishioners
- Promote clear communication and consistent execution across parish life
- Prepare quarterly lay minister schedules to ensure adequate coverage for Masses, sacraments, and parish ministries, in coordination with ministry leaders
Records & Sacramental Administration
- Maintain accurate sacramental records in accordance with diocesan guidelines
- Oversee preparation and processing of sacramental documentation
- Ensure confidentiality and proper record retention practices
Financial & Data Support
- Support financial processes, including invoice tracking and expense coordination
- Maintain parish databases and ensure accuracy of records and reporting
- Assist with stewardship and data-related initiatives
Communications & Publications
- Oversee weekly bulletin production and parish-wide communications, including timely updates to the parish website and digital platforms
- Publish the annual parish directory
- Ensure all communications are clear, consistent, timely, and mission-aligned
Facilities Coordination
- Oversee facility scheduling and usage across ministries and groups
- Coordinate with Facilities staff regarding vendors, contractors, and maintenance needs
- Monitor facility-related issues and ensure timely resolution
Education & Experience
- Bachelor’s degree preferred (or equivalent experience)
- 3–5 years of experience in operations, administration, or office management
- Practicing Catholic in good standing with the Church.
