II. PRIMARY FUNCTIONS
The Agency Relations Coordinator supports and strengthens the Foodbank’s network of partner agencies across the seven-county service area, with an emphasis on sustainable, permanent pantry sites. Serving as the primary liaison to all physical and mobile locations, this role builds collaborative relationships, coordinates onboarding and training, conducts site visits and helps ensure effective operations and compliance. The Coordinator also assists with inventory communication to maximize food distribution, supports mobile pantry logistics and provides backup support for front office functions.
III. POSITION CONTENT
A. ESSENTIAL FUNCTIONS
1. Lead strategic growth of physical partner agency sites across the service area, prioritizing brick-and-mortar locations and establishing mobile pantries only when a physical site is not feasible.
2. Evaluate existing mobile pantry sites and transition them to permanent physical locations when appropriate and sustainable.
3. Serve as the primary point of contact for all partner agencies (physical and mobile), fostering strong, collaborative relationships and maintaining regular communication.
4. Develop a site-level understanding of each agency’s operations, challenges and needs and provide guidance, problem-solving support and practical solutions to support effective service delivery.
5. Create and maintain a partnership-focused culture between THCC Foodbank and its partner agencies.
6. Coordinate onboarding of all new partner agencies, both permanent and mobile, in collaboration with the Office Manager/Agency Relations/TEFAP staff.
7. Develop working knowledge of USDA and TEFAP regulations and ensure compliance in coordination with the Office Manager/Agency Relations/TEFAP team.
8. Assist with compliance and support site visits alongside Office Manager/Agency Relations/TEFAP personnel.
9. Plan and facilitate agency meetings to communicate updates, policy changes and best practices.
10. Maintain awareness of warehouse inventory to proactively communicate availability of surplus product, reduce waste and maximize food distribution.
11. Research and share relevant grant and funding opportunities to strengthen agency sustainability across the seven-county service area.
12. Learn front office operations and provide backup support as needed.
13. Develop working knowledge of Agency Express from both the THCC Foodbank and partner agency perspectives.
14. Prepare and coordinate mobile pantry orders tailored to each specific site.
15. Conduct regular field visits to all agency and distribution sites to provide support, monitor operations and strengthen partnerships.
16. Other duties as necessary to ensure efficient functioning of the program

B. EDUCATION, TRAINING, AND/OR EXPERIENCE
1. High School Diploma or General Education Degree (GED)
2. Valid Driver’s License
3. Must be able to understand and to comply with the Archdiocese of Indianapolis Code of Conduct
4. Must be able to successfully complete the Archdiocese of Indianapolis Child Safety Training
5. Background screening required
V. WORKING ENVIRONMENT
Ø Environment – warehouse with loud equipment and office environments
Ø Physical demands, as applies: Bending/ stooping/ stretching/ climbing/ walking/ sitting/ lifting up to 75 lbs. Occasionally.
Ø Normally business hours, however there are occasional weekends and evenings.
Ø Ability to perform general operations with fax, copier, telephone and other office machines is required.
Ø Must be able to read and edit email and other related tools related to the role.
Ø Must be able to process and maintain large volumes of documentation.
Ø Must be able to communicate extensively and effectively with staff and others via telephone, one-on-one conversations and face-to-face.
Ø Must be able to sit or stand for extensive periods of time and navigate through the warehouse, office or offsite facilities.
Ø Must be able to function within a moderate noise level environment.
