Esperanza Immigrant Rights Project, a program of Catholic Charities of Los Angeles, Inc., is a non-profit law firm which provides community education and legal representation to immigrant adults, families, unaccompanied minors, individuals with mental health issues, and in cases involving crimmigration. Esperanza has proudly provided legal services to immigrants and their families in Southern California for over 15 years. The immigration court system does not provide court-appointed counsel to individuals facing deportation who cannot afford an attorney, so this vulnerable population relies on our community education programs to obtain critical information about the process, understand their legal options and access assistance. Esperanza’s community education programs were established to more effectively meet this need and to guide pro se immigrants through the increasingly complicated and strained immigration system. Core services of the programs include legal orientations regarding removal proceedings and legal relief; intake and follow-up services; self-help workshops; and referrals for pro bono assistance or social services. The Assistant to the Director will assist with the day-to-day operation of the program. This position will work very close to the Program Director in the areas of finance, HR, development and marketing. This position will also involve managing schedules, coordinating meetings, communication with stakeholders, preparing documents, and assisting with various projects as needed. Attention to detail and critical thinking are key components to succeed in this position. Strong communication skills, organizational skills, and the ability to work independently and as part of a team are also essential.

Responsibilities:
- Assisting with budget preparation, tracking expenses including cost allocation, projections and financial analysis.
- Providing organization support in contract and grant compliance, and oversight for Continuous Quality Improvement.
- Assist with scheduling and calendar management for the Program Director to coordinate and plan internal and external meetings.
- Coordination of meetings for the Program Director including preparing materials, taking minutes and following up on action items.
- Document preparation including creating and editing documents, compiling attachments, drafting reports, lists, agendas or presentations, and preparing forms for HR, accounting or other internal paperwork.
- Organizing and maintaining confidential or sensitive information.
- Help in maintaining smooth office operations and creating a welcoming and effective work environment.
- Assistance with events including community events, fundraising events, educational session or staff gathering.
- General assistance to the Program Director to provide enhance efficiency, services, client and staff satisfaction.
- Provide similar support to the Associate Director and leadership as required.
Qualifications:
- Bachelor’s degree in business, management or a related field
- Three to four years of experience with administrative or executive support
- Catholic Charities policies, procedures and regulations
- Esperanza Immigrant Rights Project programs, procedures and policies
- Passion for social justice for immigrants and vulnerable communities
- Willingness to be a team-player with an attitude and aptitude for collaboration
- Strong written and verbal communication skills, and interpersonal skills
- Ability to take initiative and work under pressure
- Time management

Salary : $70,304 - $73,000
