JOB SUMMARY: The Donations & Community Engagement Coordinator is responsible for the development, coordination, and operational success of the agency’s in‑kind donation program. This position manages donor, corporate, community partnership and Diocese of Phoenix relationships that includes tangible donations, aligns internal program needs with donor capacity, oversees donation intake and logistics, and ensures accurate tracking, reporting, and stewardship of in‑kind contributions.
In coordination with the Volunteer Supervisor and internal programs, the In‑Kind Donation Coordinator develops systems, processes, and partnerships that maximize the impact of donated goods while ensuring compliance with agency standards, safety requirements, and community partner expectations.
This role also supports community engagement efforts by leading the implementation of the volunteer management platform, supporting grant reporting activities, coordinating donation drives, contributing to CARE Campus operations, and participating in community outreach and engagement initiatives.
ESSENTIAL DUTIES:
1. Donor Relations & Partnership Development
- Identifies, cultivates, and maintains relationships with individual donors, corporations, community partners, faith-based organizations, schools, and other stakeholders capable of providing in-kind goods and support.
- Builds and sustains long-term partnerships through ongoing communication, stewardship, recognition, and engagement activities.
- Aligns donor interests and organizational resources with program needs to maximize impact and operational effectiveness.
- Develops and sends donor acknowledgments and prepares impact summaries to support stewardship, recognition, and communication efforts.
- Serves as a liaison between donors, community partners, and agency programs to ensure effective collaboration and resource alignment.
2. In-Kind Donations Management & Program Support
- Collaborates with internal programs to assess, prioritize, and document in-kind donation needs, including quantities, quality standards, storage requirements, and distribution plans.
- Coordinates and schedules donation drop-offs, pickups, and related logistics.
- Oversees the intake, sorting, storage, inventory management, and distribution of donated goods in accordance with agency standards and procedures.
- Ensures proper storage, safety, compliance, and inventory control practices are maintained.
- Supports community engagement efforts at program sites by coordinating resources and donation activities that address participant and program needs.
3. Volunteer Engagement & Volunteer Systems Administration
- Coordinates and supports volunteer involvement in donation-related activities and service initiatives based on organizational needs.
- Leads the implementation, administration, and ongoing maintenance of the volunteer management platform (VoHUB), including onboarding processes, volunteer role structures, and communication tools.
- Collaborates with Volunteer Services staff and program teams to ensure effective utilization of volunteer systems and alignment with operational goals.
- Supports volunteer recruitment, engagement, and retention efforts through community partnerships and volunteer opportunities.
4. Community Outreach & Engagement
- Develops and maintains partnerships with corporate, parish, school, civic, and community organizations to support donation drives, volunteer engagement, and service initiatives.
- Plans, promotes, and supports agency-wide donation drives in collaboration with internal departments and community partners.
- Represents the agency at community events, outreach activities, presentations, and tabling opportunities to increase awareness of agency programs, volunteer opportunities, and donation needs.
- Identifies opportunities to expand community engagement and strengthen the agency's visibility and presence within the community.
5. Data Management, Reporting & Administrative Support
- Maintains accurate, complete, and confidential records related to donations, volunteers, community partnerships, and engagement activities.
- Manages tracking and documentation of in-kind donations, including estimated values, data entry, and recordkeeping.
- Prepares reports, dashboards, and data summaries for internal stakeholders, community partners, grant reporting, and leadership review.
- Supports grant activities by collecting data, tracking outcomes, and contributing to reporting requirements related to donations and community engagement.
- Responds to inquiries related to donations, volunteer opportunities, and community engagement activities in a timely and professional manner.
6. Additional Responsibilities
- Promote ongoing commitment to excellence and continual quality improvement to ensure the highest quality of services for our staff and clients.
- Perform other duties as assigned.
JOB REQUIREMENTS:
- Education /Background: Minimum of a High School Diploma or equivalent with at least one (1) year of work experience required.
- Job Knowledge/Skills: The Donations & Community Engagement Coordinator must be an excellent communicator, both written and verbal, with strong relationship‑building skills and the ability to work collaboratively with donors, corporate partners, volunteers, and internal programs. This position requires the ability to work independently in a fast‑paced environment while managing multiple priorities and deadlines. The coordinator must demonstrate strong organizational, problem‑solving, and time‑management skills, along with flexibility and sensitivity to changing needs. Proficiency in Microsoft Office applications, including Word and Outlook, is required, along with the ability to learn and effectively utilize donor, volunteer, inventory, and reporting systems. The role requires experience or aptitude in operations, logistics, inventory tracking, volunteer coordination, corporate partnership development, and data tracking and reporting. The coordinator must maintain accurate records, handle confidential information appropriately, and demonstrate cultural sensitivity when working with diverse populations and communities.
- Working Conditions/Physical Demands: Must be able to work in a fast-paced environment with moderate interruptions. Must be able to stoop, bend, squat, and ambulate over uneven floor surfaces including stairs and steps. Travel within community; must be able to work in a variety of program, agency and public settings. Evening and weekend hours required as needed. Must be able to visually and auditory assess and interact with donors, volunteers, interns, clients and general public. Extensive keyboard and data entry. May lift up to 50 pounds.

- Valid AZ driver's license, reliable transportation and ability to show proof of registration/insurance.
- Level One Fingerprint clearance or ability to obtain fingerprint clearance; must maintain clearance.
