Job Summary
The office services coordinator’s duties and responsibilities include providing support to ensure the efficient operation of the school. This person will support the principal through a variety of tasks related to organization and communication. The office services coordinator’s job scope includes communicating via phone and email ensuring that all duties are completed accurately and delivered with high quality and in a timely manner.

Minimum Skills/Qualifications:
Must have a strong initiative and desire to work in a highly collaborative environment.
Excellent time management skills, communication skills, and organizational skills.
Attention to detail and problem-solving skills.
Proficiency in MS Office/Google Suite.

What You Will Do:
Assist with scheduling teacher substitutions, including:
Lesson plans/attendance paperwork
Daily absence report
Tracking teacher “sub” shifts
Maintaining “tally” excel sheet
Tracking faculty attendance
Maintain emergency lesson plan file
Mail:
Organizes outgoing mail and distributes incoming mail
Tracks cost of outgoing mail and tracks charges for faculty/staff personal mail
Maintains monthly report of mail charges by department
Maintains replacement supplies—toner, sealing liquids
Maintenance of mail machine – requesting service and tune ups
Copies and copy machines:
Make copies and Pdf’s as requested
Maintain copy machines on campus, including calling for maintenance when needed, and supplies for copy machines
Monthly meter reads
Supplies:
Ordering supplies
Maintaining inventory
Distributing and tracking supplies
Inventory Monthly/Yearly report to CFO
Requisitions with invoices to Business Office
Office Area:
Maintain Office Services area
Maintaining machines in this office other than those already listed (i.e.: cutting machines, poster, shredding machine)
Recycling Program of used Office Products:
Recycling of toner cartridges with Funding Factory
Maintaining program with Funding Factory and ordering of free shipping supplies
Assist in other areas when needed or have “open time” for additional work:
Help Business Office with filing or any other work as needed
Fill in as needed for absent administrative assistant staff
Fed Ex:
Process and track all outgoing FedEx Express requests/items
CCHS Stationary:
Stock/maintain a supply of CCHS stationery, envelopes, cards.
Track usage/cost per department and add to monthly supply tracking.
Supervision Coverage:
Maintain a calendar of coverage needs regarding daily supervision for break and lunch when scheduled admin are not available.
Contact and schedule those in admin for needed coverage.
Amazon Account:
Listed as administrator of Amazon account. Manage and send invitations for ordering purposes.
Place orders.
Work with the business office on approvals, filling out requisitions and tracking.
Prep/sub-Schedule:
Create the sub rotation schedule from the prep schedule for each semester.
Order name plates, name badges and business cards as needed.
Maintain mailboxes as needed for new teachers, new/old employees and name changes.
