Job Summary
Overview: Assistant duties and responsibilities include providing administrative support to the Deans of Academics. This person will support the Deans of Academics through a variety of tasks related to organization and communication. The assistant’s job scope includes communicating via phone and email, ensuring that all assistant duties are completed accurately and delivered with high quality and in a timely manner.

What You Will Do:
Offer direct support to the Deans of Academics
Answer phone calls and monitor the deans’ emails
Respond to general questions involving but not limited to general curriculum, course offerings, AP testing, textbooks, etc.
Take, transcribe and send Academic Committee minutes (once a month)
Provide all secretarial support for the accreditation process and report writing, including creating Google Docs, compiling charts and tables
Provide all secretarial support for AP coordinator including reserving facilities, proctors and enrollment numbers:
Report AP enrollment numbers and confirm exam order numbers with the AP coordinator
Administer all aspects of final make-up exams:
Secure room for testing
Organize proctors and proctor as necessary
Create instruction sheets for teachers to fill out for proctors
Gather all exams and notify teachers after students have completed the exams
Serve as the back-up person for the school with the College Board and AP Exam Services
Track PD/Spiritual Growth forms and submit to the Business Office with requisition for reimbursement
Create electronic files and monitor all first day handouts and final exam collection from faculty (send out reminders when not received, etc.)
Update field trip and guest speaker forms in electronic format and create access for faculty use
Reserve rooms for use with Academic meetings, honor roll distribution, impromptu meetings for department chairs, etc.
Send email memos, at the request of the Deans of Academics, to department chairs and teachers
Email parents with incoming students’ Challenge Test results and information to choose courses
Assist the Principal’s administrative assistant with creating lists of students receiving academic awards at annual spring awards ceremony (to include verifying GPAs, proofing of names, set up for ceremony)
Assist the Principal’s administrative assistant with coordination of honor roll certificate distribution (to include compiling and proofing names, creating certificates, creating check-in rosters, ordering snacks).
Book hotels/flights for Deans of Academics and chairs when needed
Provide support to the Principal’s administrative assistant for graduation set up and proofing of diplomas, etc.
Provide support for facilities checkouts for faculty
Serve as backup for Administrative Assistant to the Principal by taking minutes for administrative meetings
Serve as backup for Office Services in the capacity of coordinating substitute teaching assignments
This position will not be scheduled to work during the Month of July.
