Summary
The People & Culture Operations Administrator supports the daily operations of the People & Culture team. This role is responsible for recruitment coordination, the full scope of employee onboarding and offboarding activities, and maintaining employee records using the People & Culture filing system and HRIS database. Additionally, this role will work closely with the Chief of Staff (20%) assisting with office management duties such as supplies inventory, vendor coordination, and general office organization.

Key Responsibilities
- Support the People & Culture team in full cycle recruiting and onboarding processes, including scheduling phone screens, coordinating team interviews, maintaining calendars, and facilitating new hire paperwork and orientations.
- Maintain and track all new hire documentation, regional employment forms, and internal paperwork throughout the onboarding process.
- Update and maintain the People & Culture intranet hub with relevant policies, resources, and announcements.
- Assist with coordination of benefits administration, including retirement plan enrollments and changes.
- Ensure accuracy and confidentiality of employee records by maintaining and updating information in the HRIS and employee file systems. Generate reports and continuously update data as needed.
- Provide guidance to employees and managers on leave management, benefits administration, and People & Culture policies and procedures within established guidelines.
- Partner with People & Culture HRBPs to assist with special projects and key initiatives, such as year-end compensation processes, goal setting, performance reviews, and workforce planning.
- Apply knowledge of company policies and procedures to assist employees with inquiries and direct them to appropriate resources.
- Prepare bi-weekly payroll and retirement remittance packets and assist with payroll and pension audits.
- Support key departmental projects, including People & Culture operations, Training & Development, Performance Management, and Employee Experience.
- Assist with the maintenance of office supply inventory, ensuring necessary materials are stocked and ordered as needed.
- Coordinate with vendors and building management for office-related services and maintenance.
- At least one year of experience in Human Resources, ideally in a support role required to anticipate organizational needs and ability to demonstrate resourcefulness
- This is a hybrid role, working out of our New York office twice a week with Wednesday as a core day.
- Familiarity with payroll file audit process and review is a plus.
- Strong verbal and written communication skills.
- Ability to collaborate effectively across all regions, departments and staff.
- Ability to prioritize, multi-task, and meet deadlines.
- Strong customer service skills, sense of urgency, and sense of responsibility.
- Sound professional judgment when handling confidential issues and data.
- Strong organizational skills and excellent attention to detail.
- Strong technological literacy required; proficiency in MS Office Suite, experience with PEO, project management systems (e.g. Asana), recruiting platforms (e.g. Greenhouse) and HRIS platforms (e.g. Rippling) a plus.
- Basic knowledge of employment practices and regulations.
