Welcome Desk Receptionist
At Catalyst Training Gyms, the Welcome Desk Receptionist is the front-of-house anchor for our member experience. This role sets the tone for how members feel when they walk in, train, and leave — calm, supported, and confident they're in the right place.
We're the only gym in the area that specializes in helping adults over 40 train safely, intelligently, and consistently in a coached environment. Our front desk is intentionally designed as a welcoming space where members can pause, ask questions, and feel known. The Welcome Desk Receptionist ensures that experience runs smoothly by greeting members, supporting daily operations, processing approved transactions, and routing questions or requests to the appropriate team member.
This is an execution-focused role, ideal for someone who thrives in structured environments, values professionalism, and enjoys being part of a high-touch, coaching-led fitness facility.
Key Responsibilities
Member Experience & Front-of-House Operations
- Warmly greet and check in members and guests as they arrive and depart
- Create a calm, professional, and welcoming environment at all times
- Direct members to sessions, coaches, or next steps as needed
- Capture and route questions, concerns, or requests to the appropriate team member or manager
- Maintain a composed, courteous demeanor during busy periods
Communication & Issue Routing
- Answer incoming phone calls and route inquiries appropriately
- Provide high-level information about the facility and services without making recommendations or decisions
- Accurately log all member and prospect interactions in our system of record for same-day follow-up by management
- Recognize when an issue requires escalation and ensure it is handled by the correct owner
Lead Response & Appointment Scheduling
- Respond to new inquiries quickly and professionally using approved scripts
- Schedule Discovery Visits with prospective members for the Membership Manager
- Follow up with leads via phone and text using guided messaging sequences
- Log all lead activity and outcomes for the Membership Manager
Transactions & Shake Bar Operations
- Process approved purchases and transactions accurately through the point-of-sale system
- Prepare and serve approved shake and beverage items according to standard recipes
- Maintain cleanliness, presentation, and organization of the shake bar and front desk area
- Monitor inventory visibility and report shortages or issues
Facility Presentation & Quality Control
- Perform routine facility walk-throughs to ensure cleanliness and readiness
- Assist with restocking retail and shake bar items
- Complete assigned shift reset and closing tasks
- Identify and report maintenance or safety issues promptly
What Makes This Role Different
This isn't a sit-behind-the-desk-and-answer-phones job. You'll be trained on a complete system of SOPs, scripts, and tools that tell you exactly what to do, what to say, and who to escalate to in every situation. You won't need to guess — the system is built so you can execute with confidence from day one.
You'll go through a structured onboarding program with your Experience Manager, starting with shadowing and progressing to independent execution over 30 days. By the end, the goal is simple: the front desk runs so smoothly that leadership doesn't need to think about it.
Qualifications & Traits We Look For
- Strong verbal and written communication skills
- Professional, composed, and reliable under pressure
- Comfortable following defined processes and standards
- Detail-oriented with strong follow-through
- Enjoys working in a team-based, service-driven environment
- Hospitality, retail, restaurant, or fitness experience preferred
- Sales experience is a plus, but not required
Education & Experience
- High school diploma or GED preferred
- Prior experience in hospitality, customer service, retail, or fitness environments is helpful
- Interest in health, fitness, or service-based industries is a plus
Physical Requirements
- Ability to stand, walk, and move throughout the facility for the duration of a shift
- Ability to lift and move items ranging from 5 lbs up to 50 lbs as needed
- Frequent handwashing and light cleaning tasks required

Current Need:
- Part-time opportunities available
- Morning: 6:00am – 11:00am or 12pm
