Position Summary
The Administrative Assistant to the Leadership Team provides direct, hands-on support to company leadership across all areas of the business. This role is dynamic and requires a highly organized, proactive individual who can anticipate needs, execute tasks efficiently, and adapt to shifting priorities.
This position will assist with a wide range of responsibilities—from administrative coordination to operational support—helping ensure the leadership team can focus on driving the business forward.
Key Responsibilities
Leadership & Administrative Support
- Provide direct support to the leadership team on daily tasks and ongoing projects
- Assist with scheduling, calendar coordination, and internal communications
- Draft, format, and organize documents, reports, and presentations
- Act as a reliable point of contact for leadership-related requests and follow-ups
Operational Support
- Execute a variety of tasks as assigned by leadership, often with quick turnaround times
- Deliver products, documents, or supplies between store locations as needed
- Assist in organizing and preparing materials for meetings, trainings, and company initiatives
- Support company-wide projects and ensure timely completion of assigned tasks
Employee Engagement & Product Coordination
- Prepare and distribute employee sample bags on a bi-weekly basis
- Coordinate with procurement or store teams to gather products for samples
- Ensure consistency and organization in sample distribution across all locations
Events & Company Engagement
- Assist in planning and executing company events, vendor days, and internal gatherings
- Support logistics for company parties, meetings, and celebrations (setup, breakdown, coordination)
- Help source supplies, coordinate vendors, and ensure events run smoothly
- Contribute to creating a positive and engaging company culture through well-organized events
Inventory, Supplies & Expense Tracking
- Order and maintain office and store supplies to ensure operational readiness
- Track and organize company expenses, receipts, and purchase records
- Assist with invoice tracking and vendor coordination as needed
Communication & Organization
- Maintain organized systems for files, documents, and shared resources
- Assist in company communications such as newsletters, announcements, and updates
- Ensure clear and timely communication between leadership and store teams
Qualifications
- Previous administrative or executive assistant experience preferred
- Strong organizational and time management skills
- Ability to prioritize tasks and manage multiple responsibilities simultaneously
- High level of reliability, discretion, and professionalism
- Strong written and verbal communication skills
- Proficiency in Microsoft Office / Google Workspace
- Self-starter with the ability to work independently and take initiative
Requirements
- Must be 21 years of age or older
- Valid driver’s license and reliable transportation (required for inter-store deliveries)
- Ability to lift and transport items between locations when needed
- Comfortable working in a fast-paced, evolving environment
Work Environment
- Hybrid role involving office work, in-store visits, and local travel between locations
