The primary responsibility of Administrative Assistant role in Home Health is to efficiently coordinate the schedules of our clinicians, work closely with providers and the coding team to manage follow-up orders, and organize documents within our Electronic Medical Records (EMR) system. The ideal candidate should possess excellent organizational skills, the ability to multitask effectively, and be adept at maintaining clear and open communication with the team.
Responsibilities:
- Coordinate the schedules of clinicians, ensuring optimal efficiency and timely visits to patients' homes.
- Spearhead the scheduling process for clinicians, ensuring optimal efficiency, and effectiveness in patient visit coordination. This includes proactive scheduling adjustments to accommodate patient needs, clinician availability, and geographic considerations
- Organize and maintain patient records, documents, and clinical notes within the EMR system.
- Facilitate communication between clinicians and other members of the care team to ensure smooth operations and provide necessary support.
- Assist in managing phone calls, emails, and inquiries, ensuring appropriate routing and prompt response to various stakeholders.
- Perform administrative duties, such as data entry, filing, and record keeping to support the overall operations of the home health agency.
- Maintain confidentiality and adhere to HIPAA regulations when handling patient information and sensitive data.
- Assist with administrative tasks as needed, including ordering medical supplies, preparing documents, organizing and coordinating team meetings, training sessions, and other agency-related events.
- Provide administrative support to the management team and other staff members as needed.
- Uphold a positive and friendly attitude in dealing with patients, staff, clinicians and external stakeholders
Qualifications:
- High school diploma or equivalent; associate's degree or relevant certification is a plus
- Education or certifications in administration is a plus
- Familiarity with the healthcare industry or home health care is advantageous
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Strong organizational skills with the ability to handle multiple tasks efficiently
- Excellent written and verbal communication skills
- Attention to detail and accuracy in record-keeping
- Ability to maintain confidentiality and handle sensitive information with discretion
