What are the responsibilities and job description for the Bid Team Coordinator position at Cash-Wa Distributing?
Responsible for identifying and gathering the necessary information to generate bids. This includes working with CWD Procurement & Contract Compliance departments as well as Brokers & Vendors. Involves negotiating pricing, analyzing numbers, reviewing contracts, and creating revenue expectations.
Duties and Responsibilities
- Bid Generation
- Work with Sales Representative to review RFPs and gather customer information needed to start the process. This will include but not be limited to: Deadlines, nutrition expectation, product identification, forecasting, etc. Use this information to develop timelines for project completion.
- Negotiate pricing from vendors.
- Review and understand vendor contracts as well as work with Contract Compliance regarding pricing guidelines and restrictions, product limitations, etc. Provide Contract Compliance with necessary information to properly set up contracts.
- Understand and account for the impact of freight on availability and costs for the product as well as the company’s cost to deliver. Be able to differentiate between different freight categories such as FOB, delivered, etc.
- Understand Purchasing Programs such as UniPro and GPOs.
- Pull together the information to create Excel spreadsheets and present to sales and management the expected customer costs as well as company revenue. Assist in developing proposals.
- Busiest with new contracts from March - September
- Contract Evaluation
- When not working on new bids, will focus on evaluating current contracts:
- Review for profitability
- Review for adherence to the bid

- As needed, will assist with data entry needs for the Nutrition Department.
Education/Training/Experience:
- High school graduate or equivalent required; advanced degree preferred
- 1 year of administrative experience
- Knowledge of the National School Lunch Program and the Child & Adult Care Food Program, or health care industry regulations is helpful
Knowledge/Skills/Abilities:
- Excellent organizational skills and ability to prioritize required
- Understanding of contracts and logistics
- Critical thinking and strong analytical skills.
- Ability to work independently
- Detail oriented
- Basic computer skills required with an emphasis in Excel
