Our team of dedicated mental health therapists works collaboratively with clients to address trauma, develop healthy coping strategies, and foster emotional resilience. Through individualized and specialized programs, we help people at risk process traumatic experiences, manage mental health challenges, and adapt to life’s changes with strength and support.
We are seeking a highly organized and responsible Client Support Specialist to join our growing organization. In this position, you will perform clerical tasks, answer phones, as well as Data Entry. Other duties will include assisting office manager and executives with preparing documents, organizing files, managing existing health records, and generally keeping the office organized, tidy, and running smoothly.
Our team has an opening for 1 Full-Time position. The maximum amount of hours per week will be up to 40 hours, adhering to a base schedule of Monday -Friday 9 am-6 pm. With an unpaid 1 hour lunch from 1PM-2PM. We also have one all staff office meeting once a month on Saturday that the Client Support Specialist is required to attend.
Position Overview: The Client Support Specialist plays a vital role in supporting the operations of our mental health practice by providing exceptional service to our clients and assisting with administrative tasks. This position requires a compassionate and organized individual who is dedicated to ensuring clients receive the care and support they need.
Key Responsibilities:
- Client Interaction: Serve as the primary point of contact for clients, both in person and over the phone. Welcome clients, answer inquiries, and provide information about our services in a friendly and professional manner.
- Scheduling and Appointment Management: Coordinate client appointments, ensuring schedules are efficiently managed and appointments are accurately recorded in the system. Assist clients with scheduling and rescheduling appointments as needed.
- Intake Process: Assist with the intake process for new clients, including gathering necessary information, completing intake forms, and ensuring all documentation is accurately completed and filed.
- Billing and Insurance: Support clients with billing and insurance inquiries, including verifying insurance coverage, processing payments, and resolving billing issues in a timely manner.
- Administrative Support: Provide general administrative support to the practice, including maintaining client records, managing office supplies, and assisting with other clerical tasks as needed.
- Client Support: Offer compassionate support to clients during difficult moments, demonstrating empathy and understanding while maintaining professional boundaries.
- Collaboration: Work closely with clinicians and other staff members to ensure seamless communication and coordination of client care.
Requirements
- Understanding of HIPPA compliance
- Prior experience handling office responsibilities, experience in customer service, or related field
- Knowledgeable computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars.
- Excellent written and verbal communication skills
- Highly organized multitasker who works well in a fast-paced environment
- Willingness to learn and to grow with the company
