Job Description Medical Assistant

SUMMARY:

Under the supervision of the RN Manager, the Medical Assistant is responsible for managing aspects of the patient process that ensure a welcoming and efficient experience when they are in the clinic.

The MA is responsible for supporting medical staff to enable delivery of their duties including pre and post visit care, administering procedures as authorized by the Medical Director, and supporting delivery of at-home protocols. Additionally, the MA is responsible for managing relationships between Case Integrative Health certain suppliers and partnerships. These relationships will be primarily, but not exclusively, medically related (e.g. relationships with labs, pharmacies, medical consumable suppliers, insurance companies, etc.)

SCHEDULE:

Full-time, Monday – Friday (hours between 8-9 am to 5-6:30pm)

LOCATION:

1732 W. Hubbard St, Chicago, IL 60622

(Hinsdale coverage may be required with advanced notice)

RESPONSIBLITIES:

Support Providers and RN in creating a welcoming and efficient in-clinic experience including:

Ensuring timely pre-charting including notes, labs, forms and other documentation prior to scheduled appointments

Checking and charting vitals then rooming patients

Triaging Patient Portal Questions

Administering / supporting procedures per Medical Director and nurse’s directions

Cleaning rooms/chairs as needed

Prescription refill support, pharmacy confirmations and prior authorizations

Disability and insurance paperwork

Admin Support:

Compile and record medical charts, reports, and lab/test correspondence.

Maintaining and updating patient records and other medical documents

Communicating information like patient lab orders, physician referrals, and test kits. directly to patients.

Routinely track office supplies that the office uses and ensure that sufficient inventory is available.

Operate office equipment, such as voice mail messaging systems, faxes, word processing, spreadsheet, and other software applications to prepare reports, invoices, financial statements, letters, case histories and medical records.

Organizing and maintaining the supplies in storeroom

Maintaining safe, secure, clean and healthy work environment by establishing and following standards and procedures; complying with legal regulations

QUALIFICATIONS:

1. MA with NHA, APA, NCCT or AAMA certification must be completed (as of the time of start date) and current.

2. Outstanding communication skills, both verbal and written, as well as bedside manners.

3. Service orientated: capable of providing a calming, confident voice to patients and visitors with a friendly and approachable demeanor; able to resolve patient issues in a timely and appropriate manner; willingness to take ownership of patient problems and drive them to satisfactory conclusions.

4. Strong time management and organizational skills. Able to wear multiple hats.

5. Commensurate team player who is willing to work every day to make everyone better.

6. Must be self-starter and comfortable with ambiguity.

7. Compassionate, curious and driven.

8. Fluency in Microsoft Word, Excel and Outlook, EMR and medical billing a plus, but not required.

9. Service industry experience a plus.

PHYSICAL REQUIREMENTS:

1. Visual/hearing ability sufficient to comprehend written/verbal communication.

2. Ability to perform tasks involving physical activity which may include lifting, bending and standing.

3. Ability to deal effectively with stress.

4. Must be able to travel to clinics downtown and in the western suburbs
