Administrative & Admissions Assistant

The Cascade School of Music is hiring for an Administrative & Admissions Assistant.

The person in this role will be responsible for managing the welcome desk, assisting with the enrollment process for private lessons and classes, along with other administrative duties.

The Cascade School of Music, a nonprofit school serving students from ages 1 month to adult, has been enriching lives one note at a time for over 24 years. Our belief is that human potential and connection are more fully realized through lifelong engagement with music and our mission is to provide individuals with pathways to explore their interest in music through exceptional instruction in an inclusive, accessible and inspiring community.

Core Responsibilities

Welcome Desk:

  • Serve as the first point of contact to students, families and visitors to CSM.
  • Answer and address incoming phone calls and monitor phone message lines.
  • Manage and monitor CSM email correspondence.
  • Manage incoming and outgoing mail and delivery services.
  • Provide support and administer CSM payment processes.
  • Provide accurate and secure document production, file retention and records management.
  • Manage and maintain CSM safety and security policy and processes for CSM students.

Enrollment and Placement:

  • In collaboration with the CSM team, prepare and process all enrollment and placement of students into private music lessons using CSM software program.
  • In collaboration with the CSM team, provide support for lesson scheduling, adjustments, cancellations and teacher substitutions.
  • In collaboration with the CSM team, manage and monitor an accurate and efficient studio usage system.

Facility:

  • Opening and closing responsibilities.
  • Care of common areas and bathrooms as needed.
  • An eye for student care and safety.

  • Ability to work cooperatively and effectively in a team environment and promote a positive work culture.
  • Skills to track, coordinate, and complete multiple tasks to support the effectiveness of a non-profit music school.
  • Ability to initiate and perform work with minimal supervision, anticipating the needs of the office and individual instructional staff.
  • Ability to use Microsoft-platform desktop computer, Google suite and various software, and to operate all standard office equipment.
  • Ability to exercise effective interpersonal communication skills to work productively with multiple constituencies.
  • Ability to track invoice payments and perform basic bookkeeping duties.
  • Ability to prepare for simultaneous deadlines by prioritizing tasks based on urgency, managing time wisely, requesting assistance and making referrals as needed.
  • Ability to communicate clearly, in writing and speaking, face-to-face, via telephone, and e-mail, using the English language with or without the use of an interpreter.
  • Ability to work cooperatively with and contribute to a diverse workplace through ideas or experience.

Minimum Qualifications:

  • High school diploma/GED or equivalent.
  • Typing speed: 45 WPM preferred.

Job Type:

  • Full-time (32-40 hours weekly)
  • Pay: $19.00 - $21.00 per hour

  • Friday 10:45am-6:45pm

Physical Demands:

  • Must be able to function effectively indoors in an office environment engaged in work of primarily a sedentary nature. Requires the ability to work at a workstation for extended periods. Occasional lifting up to 30lbs. All individuals are required to perform essential functions with or without reasonable accommodation.
