 CAP Northwest is excited to announce that we are hiring a skilled and team-oriented Advancement Systems Manager. The Advancement Systems Manager is a key member of CAP Northwest’s Advancement team and serves as the department’s lead professional for fundraising systems, data, analytics, and operations. This position is the primary administrator and technical owner of Salesforce and the department’s integrated fundraising technology ecosystem, ensuring that systems, data, financial processes, and reporting effectively support fundraising strategy and donor engagement.

The Advancement Systems Manager must understand how donor relationships, households, gifts and pledges, campaigns, portfolios, moves management, stewardship, events, and other fundraising activities function within a sophisticated nonprofit development program, and translate those needs into effective systems and processes.

This position supervises the Advancement Associate (anticipated hire November 2026) who will support transactional and administrative functions, allowing this position to focus on systems administration, analysis, integration, optimization, and strategic Advancement operations.

 

 

This is a Full-Time role working at our Davis St location in the Old Town area of Portland. The schedule for this role is a hybrid Monday- Friday 9:00am-5:00pm three days in office 2 days work from home. With some evenings and weekend events maybe required.

Starting pay is $80,000 - $85,000 depending on experience.

 

 

Who You Are

  • Six or more years of progressively responsible experience in nonprofit development operations, fundraising systems, CRM administration, or closely related work.
  • Bachelor’s degree in nonprofit management, business administration, information systems, data management, finance, or a related field; or an equivalent combination of education, professional training, certifications, and relevant experience that demonstrates the knowledge and skills required for the position.
  • Experience in a nonprofit fundraising environment, with demonstrated ability to configure, maintain, troubleshoot, and improve Salesforce; advanced training or certification in Salesforce administration, fundraising systems, data management, business intelligence, or related technologies preferred. Salesforce Administrator certification is desirable but not required.
  • Demonstrated knowledge of nonprofit fundraising practices, including individual giving, major gifts, campaigns, donor stewardship, portfolios, moves management, pledges, recurring giving, donor retention, events, and gift processing.
  • Demonstrated experience managing integrations between Salesforce and fundraising, payment, marketing, event, or other third-party systems.
  • Strong understanding of nonprofit gift accounting and demonstrated experience reconciling fundraising records with Finance or Accounting.
  • This position requires both strong nonprofit fundraising knowledge and advanced technical expertise in Salesforce CRM.

 

 

What You’ll Do

  • Serve as the primary administrator and technical owner of CAP Northwest’s Advancement Salesforce environment.
  • Partner with Advancement staff to understand fundraising and operational needs and develop effective Salesforce solutions that strengthen donor management, reporting, and team workflows.
  • Serve as the Advancement Department’s systems lead for platforms integrated with or adjacent to Salesforce, including online giving and payment processors, peer-to-peer fundraising, auction and event management, email and marketing platforms, volunteer systems, prospect research tools, and other fundraising, administrative, and communications technologies.
  • Maintain a sophisticated understanding of nonprofit fundraising practices and ensure that Salesforce appropriately represents donor relationships and fundraising activity, including households, organizational relationships, gifts and pledges, recurring gifts, soft credits, campaign attribution, pledge schedules, portfolios, moves management, donor retention and lapsed-donor analysis, gift restrictions, and other fundraising information.
  • Develop and maintain procedures for gift attribution, pledge schedules, adjustments, refunds, write-offs, restricted gifts, and other fundraising transactions. Research and resolve discrepancies among Salesforce, fundraising platforms, payment processors, and financial records.
  • Oversee accurate recording and reconciliation of gifts, pledges, recurring gifts, event revenue, sponsorships, matching gifts, in-kind contributions, and other contributed revenue in partnership with Finance.
