The Opportunity
We are looking for a detail-driven Billing and Inventory Specialist to own the daily accuracy of fuel delivery billing and product inventory. The role is responsible for reconciling high-volume transactions, catching discrepancies before they become problems, and working across Operations and Accounting to make sure every gallon is accounted for, and every customer is billed correctly.
This is a high-volume role with a steady, year-round pace and no slow season. Every day brings a full workload that needs to be handled quickly and accurately. If you do well with a constant flow of work, like numbers, and take pride in getting things right, this role is for you.
What You Will Do
- Process and reconcile daily fuel inventory and delivery transactions across metered trucks, bulk plants, throughput, and stations.
- Review and post customer bills received through email, EDI, supplier portals, and fax.
- Apply price overrides, quotes, deal pricing, and delivery fees accurately.
- Identify, research, and escalate inventory and product discrepancies, including possible loss or theft, and support regulatory reporting.
- Audit and correct product receiving errors and maintain accurate records for audit and review.
- Process third-party commercial metered deliveries outside our service region.
- Run Commercial Division customer statements.
- Support the Operational Accounting team during month-end close.
- Partner with internal teams on credits and rebills, including root-cause analysis to prevent repeat issues.
- Help maintain internal controls and build clear process documentation for cross-training.
What You Bring
- 2 years of experience in accounting, billing, inventory, or accounts receivable.
- Strong math skills and a high level of accuracy.
- Intermediate or better Microsoft Excel skills; working knowledge of Word, Outlook, and Teams.
- Excellent written and verbal communication skills.
- Strong organization and the ability to manage competing priorities in a fast-paced, deadline-driven environment.
- Ability to maintain accuracy and focus while handling a consistently high daily volume of transactions.
- Ability to handle confidential information with discretion.
- Availability to work one weekend per month, if needed.
Preferred
- Experience with ERP systems; PDI or Ascend experience is a strong plus.
- Fuel or petroleum industry experience.
- Associate or bachelor's degree in accounting or finance.
