The Treatment Coordinator at Carrington Square Dental plays one of the most pivotal roles in the patient journey. This position bridges the gap between the clinical recommendation and the patient’s decision to move forward with care. As the primary point of contact for treatment presentation and financial conversations, the Treatment Coordinator is responsible for ensuring that every patient fully understands their options, feels confident in their decision, and experiences no unnecessary friction between diagnosis and care.
This is not a high-pressure sales role — it is a patient advocacy and education role. The best Treatment Coordinators are warm, trustworthy, and exceptionally skilled at breaking down complex dental treatment into clear, approachable conversations. They understand that helping a patient say yes to treatment they need is one of the most meaningful things they can do for that patient’s long-term health.

TREATMENT PRESENTATION & CASE ACCEPTANCE
- Present comprehensive and single-visit treatment plans to patients following clinical exams, using language that is clear, compassionate, and free of jargon
- Educate patients on the clinical necessity, benefits, and risks of recommended treatment; answer questions thoroughly and honestly
- Customize the treatment conversation to each patient’s unique concerns, values, and communication style
- Walk patients through all available financial options including insurance benefits, in-house plans, and third-party financing (e.g., CareCredit, Sunbit)
- Obtain signed informed consent and financial agreements prior to scheduling treatment appointments
- Follow up consistently with patients who did not schedule at the time of presentation; maintain a treatment pending log and work it daily
- Track case acceptance rates by provider and report metrics to the Office Manager regularly
- Collaborate with the clinical team to develop scripting and presentation strategies that improve patient comprehension and acceptance
SCHEDULING & PATIENT COORDINATION
- Schedule treatment appointments that align with patient needs, provider availability, and practice production goals
- Coordinate multi-step treatment sequences, ensuring appointments are sequenced logically and efficiently
- Confirm upcoming treatment appointments and prepare patients with pre-appointment instructions
- Communicate with the clinical team regarding appointment length, setup needs, and any special patient considerations
- Manage rescheduled or cancelled treatment appointments and maintain a priority list for filling last-minute openings
- Follow up with patients post-treatment to check on their recovery, reinforce the value of completed care, and schedule next steps
PATIENT EXPERIENCE & COMMUNICATION
- Create a welcoming, low-pressure environment for treatment conversations; never make patients feel rushed or judged for hesitation
- Serve as a trusted resource for patients navigating complex or costly treatment decisions
- Handle patient concerns or objections to treatment with empathy, education, and honest guidance
- Communicate proactively with patients regarding changes to their treatment plan, insurance coverage updates, or scheduling needs
- Maintain detailed and accurate notes in patient charts to ensure continuity across all team members
- Support the practice’s culture of exceptional patient experience at every interaction — in person, by phone, and by email
QUALIFICATIONS
Required
- 2 years of experience in a dental treatment coordination, patient financial counseling, or similar role
- Strong working knowledge of dental insurance (PPO, HMO, fee-for-service) and benefit verification processes
- Demonstrated ability to have confident, compassionate financial conversations with patients
- High proficiency in dental practice management software (Dentrix, Eaglesoft, or similar)
- Exceptional interpersonal and written communication skills
- Strong organizational skills and attention to detail; able to manage a large pending treatment list without dropping follow-ups
- Proven track record of achieving strong case acceptance rates
Preferred
- Experience presenting high-value cases including implants, full-mouth rehabilitation, Invisalign, and cosmetic treatment
- Familiarity with third-party financing programs such as CareCredit and Sunbit
- Background in customer service, healthcare financial counseling, or patient advocacy
- Bilingual in Spanish, Hindi, or Gujarati
PHYSICAL REQUIREMENTS
- Ability to sit for extended periods while working at a desk workstation
- Ability to stand and move throughout the office for patient consultations
- Proficiency with standard office technology including computers, multi-line phones, and practice management software
