What You'll Do
The Scheduling & Purchasing Coordinator plays a critical role in ensuring projects move smoothly from order placement through installation and completion.
Key Responsibilities
- Review customer orders and coordinate purchasing, order entry, tracking, scheduling, and follow-up.
- Enter and track purchase orders and communicate backorder issues to sales staff.
- Order materials and supplies at the best possible pricing while considering freight and warehouse locations.
- Track incoming materials and coordinate deliveries.
- Schedule installation crews efficiently and communicate expectations with customers.
- Answer customer questions and provide outstanding customer service.
- Monitor job profitability and notify sales staff of margin concerns.
- Process customer payments, including checks and credit card transactions.
- Complete post-installation follow-up calls and paperwork.
- Coordinate product returns and resolve order issues.
- Prepare and distribute work orders and picking tickets.
- Job-cost completed projects and communicate completion information to billing.
- Assist sales staff with:
- Product availability checks
- Sample ordering
- Customer quotes
- Quote entry
- Purchasing activities
- Support showroom organization and company image.
- Maintain confidentiality of customer and company information.
- Assist with coverage during employee absences.
Qualifications
- Previous scheduling, purchasing, administrative, or project coordination experience required.
- Flooring industry experience is a plus but not required.
- Strong computer and typing skills.
- Comfortable using business software, Microsoft Word, and phone systems.
- Excellent communication and customer service skills.
- Strong organizational and multitasking abilities.
- Ability to follow established processes and procedures.
- Willingness to learn and grow within the flooring industry.
Work Schedule
Monday – Friday
8:00 AM – 5:00 PM
(60-minute lunch break)
