At Caroline Lending, we are looking for a Commercial Loan Operations Coordinator to be the operational backbone of our lending process. This isn't just a data entry role; you are the bridge between a loan application and a successful funding. We are direct commercial lenders—not brokers—and we manage every property and borrower through in-house data systems and digital workflows. You will handle everything from property deep-dives to the final "wire sent" confirmation, ensuring nothing falls through the cracks in our fast-paced environment.
> Key Responsibilities <
Closing Coordination & Execution
- Escrow & Title: Open escrow with title companies and law firms, serving as the primary point of contact to sync on loan logistics.
- Due Diligence: Request and perform reviews of title commitments for errors or unacceptable exceptions.
- Technical Research: Act as an investigator for properties, gathering tax records and flood zone certificates.
- Funding Management: Request and reconcile settlement statements against internal loan data, verbally confirm wiring instructions, and coordinate with the Treasurer to initiate funding.
- Document Generation: Prepare commercial loan documents and perform quality control for errors before closing.
Post-Closing & Portfolio Management
- Collateral & Recording: Handle the entire recording process for loan assignments, releases, and satisfactions in the appropriate county jurisdictions.
- Assignment Process: Create and manage loan assignments for our bank revolving credit facilities.
- Lien Management: Facilitate the release of liens and handle payoffs once a loan is successfully completed.
- Records Retention: Secure original signed documents and manage both digital and physical archives with absolute precision.
Client Servicing & Systems
- Active Loan Support: Interact with clients to service their needs for active property rehab and construction loans.
- Database Management: Initialize new loan records and input critical data with accuracy into FileMaker Pro and Excel.
What You Bring to the Table
- Technical Proficiency: You are comfortable with Excel and have mastered (or are ready to master) Microsoft Word Mail Merge for document generation.
- Digital Fluency: You can navigate web-based data providers, county tax portals, and database environments like FileMaker Pro with ease.
- Communication Skills: You are a professional on the phone and via email, capable of talking to a title attorney and a borrower in the same hour without breaking a sweat.
