What are the responsibilities and job description for the Patient Outreach Coordinator position at Carolina Integrative Medicine?
Patient Outreach Coordinator
Carolina Integrative Medicine | Clemson, SC | About 30 hours per week | In-office
Do you love helping people find their way to better health? Are you the kind of person who listens first, asks good questions, and can talk about cost without pressure or awkwardness?
Carolina Integrative Medicine is looking for a Patient Outreach Coordinator. You'll be the first real conversation many people have with our practice, and you'll help us connect with our community.
About us
Carolina Integrative Medicine (CIM) is a functional and integrative medicine practice in Clemson, SC. We help patients find the root cause of their symptoms and empower them to restore their health, energy, and joy.
Our founder, Dr. Aimee Duffy, is a board-certified family physician and the author of Normal Doesn't Have Side Effects. We believe everyone deserves to be heard, and that getting healthy shouldn't be a mystery. We focus on patient education as a main pillar in their care; informed patients heal faster!
We invest in our team the way we invest in our patients. We encourage ongoing learning, welcome new ideas, and give people room to grow into new responsibilities.
The role
On short Zoom calls, you'll learn what prospective patients are looking for and explain how we work. Together you'll decide whether we're the right fit, and if we are, you'll enroll them as new patients.
This is more than a sales role. We want a guide who cares about getting people to the right place, even if that place isn't with us.
About three-quarters of your time goes to discovery calls. The rest is community outreach: building relationships with local businesses and professionals, supporting Dr. Duffy at her speaking events, and keeping our lead numbers clear and current.
What you'll do
Discovery calls and enrollment (about 75%)
- Host 15–20 minute scheduled Zoom calls with prospective patients, about 35 per week.
- Listen to each person's health concerns and goals, and explain our integrative approach and how we could support their individual goals.
- Answer questions about the initial investment honestly and with ease, including general cost ranges when appropriate.
- Manage enrollment for qualified patients and book them into consultations with our providers.
- Follow up promptly with people who are still deciding.
- Learn our core protocols and the common health challenges our patients face, so you can speak about them with confidence.
Community outreach and events (about 25%)
- Build relationships with local businesses, professionals, and community groups that share our passion for community health.
- Identify and secure opportunities for Dr. Duffy to speak, and coordinate the logistics.
- Attend Dr. Duffy's talks and events (at least monthly, within a 1–2 hour drive) and enroll patients on site.
- Connect event attendees with our team and manage follow-up with interested guests.
- Share what you hear from the community with our team and marketing partners.
- Take videos and pictures of happenings around the office to share with our social media managers
- Coordinate with our social media managers.
- Reviewing community FaceBook page content.
- Create and Maintain Standard Operating Procedure documents for your tasks.
- Meet with the whole team weekly
- Meet weekly or bi-weekly with marketing team
Tracking and improvement
- Track leads and outcomes in GoHighLevel and our EMR: webinar leads, calls completed, consults booked, and leads closed or lost.
- Report key numbers to the team on a regular schedule.
- Organize call recordings for training and quality improvement.
Who you are
- Passionate about health and wellness. Clinical training is not required.
- A natural connector who listens more than they talk.
- Comfortable talking about money, without pressure or awkwardness.
- Able to ask good questions, respond to hesitation with empathy, and help someone reach a confident yes (or an honest no).
- Warm and energetic, whether on a video call or in a room full of event guests.
- Organized, comfortable with numbers, and consistent with follow-through.
- Coachable, and happy to review your own calls to keep getting better.
- Based within driving distance of Clemson, SC.
Nice to have: experience in client consulting, memberships, admissions, or community outreach; experience with a CRM (GoHighLevel is a bonus).
Schedule, pay, and travel
- Hours: 27-36 hours per week, in our Clemson office.
- Pay: Mid-$20’s hourly commission
- Events: some evenings and weekends.
- Travel: at least monthly to local events within a 1–2 hour drive. You may also have opportunities to attend conferences and other educational events with Dr. Duffy and the team.
Why join us
You'll do work that matters: helping people take the first step toward feeling better. You'll get coaching on your calls and the chance to learn alongside a physician-led team. We want someone who brings warmth to every conversation and helps us keep growing.
