This role provides leadership and oversight to front desk staff while ensuring efficient patient flow, accurate registration and collections, exceptional customer service, and compliance with organizational and regulatory standards. The Team Lead plays a key role in staff development, operational performance, and continuous process improvement.
Essential Duties And Responsibilities
- Supervise, coach, mentor, and evaluate front desk staff through ongoing feedback, training, and performance reviews.
- Coordinate staffing schedules and ensure coverage during scheduled and unscheduled absences across offices and endoscopy centers.
- Oversee time and attendance tracking.
- Provide orientation and ongoing role-based training for staff.
- Establish and maintain front desk workflows, procedures, and performance standards.
- Monitor patient flow to ensure smooth and timely office operations.
- Ensure accuracy of patient demographic and insurance information.
- Oversee scheduling, appointment reminders, recalls, and no-show communications.
- Assist with physician templates as needed.
- Audit front desk activities to ensure accurate registration, collections, and payment posting.
- Oversee end-of-day reconciliation, bank deposits, and petty cash audits.
- Monitor outstanding encounters to ensure all charges are accounted for.
- Ensure timely posting of office charges and patient payments.
- Ensure completion of daily front desk closeout activities, including voicemail checks and advance chart preparation.
- Maintain compliance with HIPAA, OSHA, AAAHC, infection control, and safety requirements.
- Participate in implementation and monitoring of policies and procedures.
- Utilize operational and financial reports to evaluate practice performance.
- Promote a patient-friendly office environment with a focus on high patient satisfaction.
- Serve as the front office liaison for patients, families, physicians, and external partners.
- Maintain strong working relationships with providers, leadership, and staff.
- Identify opportunities for process improvement and recommend workflow enhancements.
- Support change management initiatives aligned with departmental and organizational goals.
- Follow all safety policies and procedures.

Education/ and or Experience:
- Associates degree preferred.
- Knowledge of HIPAA and Medicare compliance.
- Knowledge of Medical Terminology
- Great attention to detail
- Proficient with Microsoft Office
- Previous experience in a medical front office or healthcare administrative role required
- Prior leadership or supervisory experience preferred
- Strong knowledge of patient registration, scheduling, insurance verification, and collections
- Excellent communication, organizational, and problem-solving skills
- Ability to multitask in a fast-paced healthcare environment
- Proficiency with electronic health records (EHR) and practice management systems
