Seeking a dedicated and detail-oriented accountant to join our team and grow within the organization. Initially, payroll accounting will be the primary function with the ability to effectively transition into other accounting functional areas. Long term goal of the position is to fill the Director of Finance position and lead the department and oversee the financial operations of the organization.
Key Responsibilities – Payroll
- Review timesheets for accuracy, follow up on any inconsistency or questionable items and import remotely acquired timesheet data into company accounting software
- Process payroll on a weekly basis, uploading data for direct deposit and e-stub distribution, preparing paper checks when required, submitting payroll tax deposits, and updating payroll recap spreadsheets
- Follow federal and state laws and Company policies and Procedures as they apply to payroll processing including but not limited to policies on overtime, vacation or PTO, subsistence, etc.
- Create leased labor and standard cost exports and truck rent files
- Process weekly subsistence payments for all traveling employees meeting the company requirements
- Prepare, submit for review and signature, and file all required payroll tax reports
- Monitor flexible spending accounts, health spending accounts, child support and payroll garnishments, submitting requests for payments to accounts payable as needed
- Submit 401k and Health Savings Account payroll deferrals on a weekly basis
- Maintain employee setups in the accounting software and employee navigator system including benefit eligibility and enrollment
- Assist with the financial statement, insurance and 401k audits
- Prepare and distribute W-2’s and 1095’s to employees
- Monitor and record COBRA payments received
- Review daily cash receipt register and deposit
- Reconcile benefit insurance invoices to census data and payroll deductions and submit to accounts payable for payment or pay electronically
- Prepare and distribute annual donor statements for the charitable foundation
- Submit request for payment to accounts payable for employee’s deductions for united way and/or charitable foundation donations on a quarterly basis
Key Responsibilities – Accountant
· Perform daily and monthly banking reconciliations
· Initiate and review weekly equipment reporting
· Work with payroll department, General Superintendent and labor agencies to verify the accuracy of invoices, import into the accounts payable system the labor data acquired through the payroll system and make adjustments as required
· Prepare monthly workpapers to support general ledger balances and verify that they tie out to the final trial balance
· Make monthly general journal entries as needed
· Compile monthly financial statements and management reports
· Update depreciation software for asset additions and disposals monthly
· Assist with the preparation of quarterly budgets
· Assist with the preparation of workpapers and confirmations for the annual financial statement audit
· Assist with accounts payable, complying with applicable Company policies and procedures
· Manage and prepare state annual filings, state sales and use tax filings
· Monitor the subcontractor prequalification applications including sending out correspondence, reviewing certificates of insurance and ensuring compliance with company process
· Work with Finance Director and VP-Admin on various projects as needed
Qualifications
- Bachelor’s degree with a major in Accounting or Finance
- Three to five years of related experience, with experience in payroll processing preferred
- General knowledge of GAAP
- Detail-oriented including analyzing and verifying data for accuracy before finalizing tasks and reports
- Ability to communicate effectively both verbally and in writing to diverse audiences
- Ability to work individually or as part of a team and adjust priorities quickly as circumstances dictate
- Advanced computer skills in Excel
- Prior experience with Sage 300 Construction and Real Estate, TimberScan and Crystal Reports software is preferrable
Pay: $45,000.00 - $50,000.00 per year
