Job Summary

Responsible for performing HR-related duties on a professional level and works closely with senior HR management in supporting the organizations’ human capital. Provides customer service to all Hospital employees for record keeping and inquiry purposes. Provides general records information to Administrators and Department Heads as requested. Maintains records, including but not limited to, maintenance of employees’ files. Has complete oversight of the personnel records.

Essential Functions 

  • Partners with management and provides support in all areas of HR, including new hire orientation, training and development, performance management and HR regulatory compliance.
  • Processes all transfers/promotions, and terminations in the HRIS system and ensures documentation is printed and maintained in personnel files.
  • Reviews and updates current and new job descriptions upon request by HR Director or hiring managers. Coordinates the Annual Performance Evaluation process and releases 90-day Performance Evaluation to hiring managers and ensures compliance with timely evaluations. ADP.
  • Creates reports as requested by HR Director and ensures accuracy and report details
  • Maintains employees’records and I-9 documents in a manner that is compliant with regulatory bodies and consistent with hospital standards by maintaining confidentiality.    
  • Monitors the fax mailbox for employee verification requests and completely in a timely fashion.
  • Verifies that employees' certifications and licenses are up-to-date and communicates non-compliance to management. Maintains updates licenses in filing system and HRIS system..
  • Manages Annual Education Roll-out and curriculum in LMS System for clinical and nonclinical employees and generates compliance reports as needed
  • Oversees LMS system and monitors module and training plan setup, ensuring that employees are assigned the appropriate compliance training modules.
  • Assists the HR Director with updating and the development HR policies.
  • Assist with other HR compliance requirements such as Fingerprint, Handle With Care, I-9, etc.
  • Monitors PTO balances and runs reports for compliance as needed.
  • Supports with employee engagement initiatives and hospital celebration and recognition activities.
  • Oversees the Tuition Assistance Program by retrieving tuition applications and ensuring all supporting documents are received to submit for reimbursement.
  • Supports HR Director with completing unemployment claims and maintaining the unemployment portal.
  • Provides assistance with daily HR operations as needed.

Physical Requirements:

Position requires prolonged periods of sitting and use of a computer and screen viewing throughout the working day.

Position will be required to stoop, bend, lift, and carry items weighing up to 25 pounds.

Minimum Education/Certifications
Bachelor's required.

Minimum Work Experience
Minimum two (2) years general office experience preferably in a Human Resources Department.

Knowledge and Skills

  • Computer literate in Microsoft Word, Excel. Advanced Excel skills highly desirable.
  • Knowledge of LMS, HealthStream, Kronos and ADP systems are helpful.
  • Excellent interpersonal skills required.
  • Understands filing systems for accurate storage.
  • Excellent attention to detail.
  • Ability to interact with other HR personnel in a professional manner.
  • Ability to multitask.

Position Type/Expected Hours of Work:

Must be willing to work holidays, weekends and provide additional coverage as needed
