Global Quality Assurance & Regulatory Compliance Lead (Part-Time)
About the Company
Food-ingredient importer and distributor is seeking a part-time Global Quality Assurance & Regulatory Compliance Lead to support quality documentation, supplier verification, compliance files, and customer-required documentation.
The company supplies organic and natural food ingredients—including spices, oils, oleoresins, coconut derivatives, cocoa, and various bulk commodities—to manufacturers and distributors across North America.
This role plays a central part in ensuring product integrity, documentation accuracy, and regulatory readiness.
Position Overview
The Quality Assurance & Regulatory Compliance Lead will manage key quality and compliance documentation, review supplier certifications, update files, and support cross-functional teams by ensuring all quality-related information is accurate and complete.
This is a high-responsibility, detail-driven role suited for someone with prior experience in quality, documentation, food safety, or regulatory work who can work independently with minimal oversight.
This position is fully office-based in White Plains, NY.
Key Responsibilities
Quality Documentation & Verification
- Review and maintain COAs, Specifications, Organic Certificates, allergen statements, and compliance documents.
- Verify supplier documentation and ensure files remain current and complete.
- Maintain structured digital and physical filing systems for quality and regulatory files.
- Conduct periodic documentation audits for accuracy and completeness.
Regulatory & Customer Compliance
- Ensure documentation meets FDA, organic, import, and customer regulatory requirements.
- Support customer documentation requests, questionnaires, and approval packets.
- Review product labels, descriptions, and claims for accuracy when applicable.
Internal Quality System Support
- Maintain logs of non-conformances, customer complaints, and corrective actions.
- Assist with internal traceability exercises and documentation mock recalls.
- Coordinate with logistics and operations to ensure correct documentation accompanies outgoing shipments.
Cross-Functional Support
- Work closely with sales and operations teams on documentation needs.
- Communicate with suppliers or labs as needed for updated or missing documents.
Qualifications
- Experience in QA, regulatory compliance, documentation control, food safety, or related areas required.
- Strong ability to read and interpret technical documents (COAs, specs, certifications).
- Excellent organization, consistency, and attention to detail.
- Strong written communication skills.
- Proficiency with Excel or Google Sheets.
- Must be able to work on-site in White Plains, NY.
Compensation
- $25 per hour
- 10–20 hours per week - role can grow into full time.
- Flexible scheduling within normal office hours
