Job Summary
The Assistant to Trust and Wealth Management Advisors provides administrative and client service support to Trust and Wealth Advisors. This position plays a key role in delivering exceptional client experiences by assisting with account administration, preparing client meeting materials, managing documentation, maintaining accurate records, and supporting day-to-day trust and wealth management functions.
Essential Functions

Client Service & Administrative Support
- Serve as a primary point of contact for clients regarding routine inquiries and account requests.
- Schedule and coordinate client meetings, calls, and reviews.
- Assist in preparing client presentation materials, financial reports, and meeting packets.
- Facilitate communication between clients, advisors, attorneys, accountants, and other professional partners.
- Ensure a high level of professionalism, confidentiality, and responsiveness in all client interactions.
- Manage calendars, appointments, and meeting logistics for advisors.
- Maintain electronic and physical client files.
- Draft correspondence, reports, and client communications.
- Process incoming and outgoing mail and maintain records retention standards.
- Support special projects and departmental initiatives as assigned.
Trust & Wealth Management Support
- Assist with trust account administration and maintenance.
- Prepare and process trust-related documentation and account forms.
- Monitor account activities and follow up on outstanding items.
- Maintain accurate client and trust records in accordance with regulatory and company requirements.
- Assist with distributions, transfers, and other trust transactions as directed.
- Support wealth advisors with client onboarding and account setup.
- Assist with gathering financial information and documentation.
- Prepare account review materials and performance reports.
- Coordinate processing of account maintenance requests and client service transactions.
- Monitor workflow and ensure timely completion of service requests.
Compliance & Risk Management
- Ensure adherence to internal policies, regulatory requirements, and fiduciary standards.
- Maintain confidentiality of sensitive client and financial information.
- Assist with audit requests, compliance reviews, and documentation requirements.
- Stay current on procedures related to trust and wealth management operations.
Education & Experience
- Associate's degree in Business, Finance, Accounting, Communications, or related field preferred.
- Bachelor's degree preferred.
- 2 years of administrative, banking, trust, wealth management, financial services, or related experience preferred.
- Experience supporting advisors or working with high-net-worth clients is a plus.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Exceptional attention to detail and accuracy.
- Ability to maintain confidentiality and professionalism.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong customer service and relationship-building skills.
- Working knowledge of trust administration, investments, and financial services preferred.
