Key Responsibilities:
Project Management & Coordination
- Develop, maintain, and update project plans, including timelines, milestones, and dependencies.
- Coordinate cross-functional activities required for field action, ensuring alignment and timely execution.
- Schedule, prepare, and facilitate recurring project meetings, work sessions, and status reviews.
- Track progress against the project plan; identify delays or gaps and follow up with owners to drive closure.
- Support risk and issue identification and tracking; define mitigation and contingency actions as needed.
- Maintain project trackers, logs, and dashboards (site completion status, open actions, issues, escalations).
- Perform data entry, validation, and cleanup in relevant tools and systems (spreadsheets, trackers, internal databases).
- Prepare and distribute agendas, meeting minutes, action item lists, and follow-up communications.
- Support coordination of materials, documentation, and instructions for field activities.
- Assist with managing field schedules, service visits, and related logistics.
- Ensure accurate, complete, and timely documentation of project activities in accordance with internal procedures.
- Maintain organized, audit-ready project files and records (approvals, communications, status reports).
- Ensure executed activities are properly recorded, including completion confirmations and any deviations/escalations.
- Serve as a central point of contact for day-to-day questions and coordination.
- Prepare and distribute regular status reports and summaries for leadership and key stakeholders.
- Ensure consistent, clear communication to internal partners and field teams regarding progress, changes, and expectations.
- Capture lessons learned, feedback, and observations related to project execution.
- Support the creation or refinement of templates, checklists, and processes to improve future field activities.
Qualifications:
Required:
- Bachelor’s degree in Business, Engineering, Life Sciences, or related field, or equivalent experience.
- 3–5 years of experience in project management, project coordination, or a similar role.
- Demonstrated experience supporting cross-functional projects with multiple stakeholders.
- Strong organizational skills with ability to manage detailed tracking, documentation, and follow-up.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word) and collaboration tools (SharePoint, Teams).
- Strong written and verbal communication skills.
- Ability to work independently, manage priorities, and follow through on commitments.
- Experience in structured, process-driven environments.
- Experience supporting field activities, service operations, or large-scale deployments.
- Exposure to project management methodologies and tools (basic Gantt charts, task trackers).
