Schedule: Monday–Friday | 7:30 AM – 4:30 PM

Position Summary

Our client, a confidential financial firm, is seeking a Workplace Experience Associate to deliver an exceptional workplace experience through personalized, client-focused service and administrative support. This role partners closely with the Workplace Experience and Events teams to support daily office operations, hospitality services, meeting coordination, and facilities-related requests while maintaining a welcoming, professional environment for employees and guests.

Responsibilities

• Deliver exceptional, five-star customer service across all forms of communication.
• Welcome guests, manage visitor registration, and provide a seamless arrival experience.
• Build positive relationships with clients and proactively anticipate workplace needs.
• Serve as the primary point of contact for workplace services and client requests.
• Coordinate meeting room readiness, including audiovisual equipment, catering, room setup, lighting, temperature, and supplies.
• Maintain high standards of hospitality and concierge services throughout the office.
• Conduct routine floor walks to ensure common areas remain clean, organized, and fully stocked.
• Monitor office inventory, order supplies, and track related expenses.
• Submit and coordinate facilities work orders as needed.
• Support building security, guest access, and badge/access card troubleshooting.
• Respond to inquiries regarding mail services, bike storage, loading docks, and other workplace amenities.
• Receive, secure, and distribute deliveries and packages.
• Maintain key control logs and support overall workplace organization and cleanliness.
• Foster strong working relationships across departments.
• Assist with emergency response procedures by directing clients and guests when necessary.

Qualifications

• High school diploma or equivalent required.
• 3 years of experience in hospitality, workplace experience, hotel, restaurant, concierge, or customer service environments preferred.
• Excellent written and verbal communication skills.
• Strong organizational, multitasking, and time management abilities.
• Proficiency in Microsoft Office Suite.
• Ability to work independently while managing multiple priorities in a fast-paced environment.
• Professional demeanor with a strong customer-service mindset.

Physical Requirements

• Ability to lift and move up to 40 pounds on a regular basis.
• Ability to stand, walk, bend, kneel, and sit for extended periods.
• Comfortable operating standard office equipment and handling deliveries and packages.
