Executive Assistant to CEO, Philanthropist and Entrepreneur
We are seeking a systems-minded, resilient, and highly organized Executive Assistant to act as the primary "engine" for a high-profile UHNW Executive. This role is for someone who sees order in chaos and is energized by the challenge of building a world-class support system from the ground up. You are the architect of efficiency and guardian of the Executive’s time, energy, and privacy.
Key Areas of Focus
40% – Inbox & Communications Management
- Manage and optimize a high-volume inbox, ensuring critical communications receive immediate attention while appropriately handling routine matters independently.
- Act as a strategic gatekeeper, ensuring the Executive's attention is focused on the highest-value priorities.
- Develop and maintain systems that streamline communication flow and increase efficiency.
- Draft and manage correspondence on behalf of the Executive, adapting seamlessly to varying audiences and communication styles.
35% – Strategic Calendar & Logistics Management
- Serve as the primary owner of the Executive’s calendar, thoughtfully prioritizing meetings, commitments, and travel.
- Coordinate complex scheduling across multiple stakeholders, time zones, and priorities.
- Coordinate complex domestic and international travel arrangements and itineraries.
- Ensure adequate preparation time, travel buffers, personal commitments, and focused work periods are protected.
15% – Daily Briefings & Follow-Through
- Prepare comprehensive daily briefing materials, including schedules, meeting context, contact information, and key action items.
- Track deliverables, decisions, and follow-up items arising from meetings and calls.
- Maintain accountability systems to ensure priorities remain visible and execution stays on track.
10% – Administrative Support & Special Projects
- Support a variety of administrative functions and special initiatives as needed.
- Design and implement systems that improve organization, communication flow, and operational effectiveness.

Qualifications
- 3–5 years of Executive Assistant experience supporting senior executives.
- Experience in startup, venture capital, technology, investment, family office, or other high-growth environments preferred.
- Exceptional organizational, communication, and problem-solving skills.
- Advanced proficiency with Google Workspace and a strong interest in leveraging technology and AI tools to improve workflows.
- Demonstrated ability to operate independently, anticipate needs, and manage shifting priorities with sound judgment.
