About the Role:
Our client, a leading private equity firm based in Los Angeles, is seeking a highly organized and motivated Admin/Executive Assistant to join its Investor Relations team. This opportunity comes as the firm enters a new fundraising phase and is ideal for someone eager to gain exposure to a fast-paced investment environment while receiving mentorship and hands-on training. There will be scheduling, travel coordination, expense processing, and the creation of investor materials, ensuring seamless day-to-day operations during a dynamic growth period. This is a blended support role providing Investor Relations support, front desk coverage, and Executive Assistant overflow support.
Key Responsibilities:
- Manage complex calendars, schedule meetings, and coordinate logistics for the Investor Relations team.
- Arrange and reconcile travel itineraries, accommodations, and expenses through Concur.
- Assist with creating and organizing investor “books” and presentation materials related to new fundraising initiatives.
- Support expense tracking, data entry, and document preparation in Microsoft Suite.
- Collaborate with other administrative and operations staff to ensure seamless communication and workflow.
- Provide general administrative support as needed to facilitate team efficiency.
- Manage conference room setup and turnaround, including preparing spaces for meetings, resetting rooms post-use, and clearing any used dishes or materials to maintain a clean and professional environment.
Qualifications:
- 3–5 years of administrative or executive assistant experience; finance background helpful but not required.
- Proficiency in Microsoft Office Suite and Concur.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Positive, proactive, and eager to learn within a mentorship-driven environment.
