We are a medical office seeking a dynamic and highly organized Phone Operator to serve as the first point of contact for our organization. Duties
- Answer all incoming phone calls promptly and courteously, directing callers to the appropriate departments or personnel
- Manage multi-line phone systems and operator switchboards to handle high call volumes efficiently
- Screen, prioritize, and relay messages accurately to ensure timely responses
- Maintain detailed records of calls, messages, and dispatching information using Microsoft Office tools and data entry techniques
- Utilize telephony systems to transfer calls, place calls on hold, and perform conference calls as needed
- Support dispatching activities by coordinating communication between staff members and external contacts
Skills
- Multilingual or bilingual abilities to effectively communicate with diverse populations
- Strong proficiency in our EMR system (eClinicalWorks)
- Excellent phone call management skills with knowledge of office phone management systems and operator switchboards
- Exceptional communication skills, both verbal and written, with a focus on phone etiquette
- Ability to handle multiple lines simultaneously using multi-line phone systems
- Knowledge of medical terminology (if applicable) or familiarity with professional telephony standards
- Experience in clerical tasks such as data entry, typing accuracy, and maintaining organized records
- Customer service orientation with a friendly yet professional demeanor
- Technical proficiency in telephony systems, including troubleshooting basic issues when necessary
- Previous administrative or front desk experience preferred but not required
