Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, directing calls efficiently and professionally
- Schedule appointments and maintain calendar management for staff and management
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily operations
- Handle incoming correspondence, emails, and inquiries with excellent phone etiquette and customer support skills
- Assist with clerical tasks including typing, photocopying, and maintaining organized files
- Support office staff with administrative duties such as proofing documents and managing office supplies
- Provide bilingual support to accommodate diverse clients and staff members when necessary
- Maintain a clean, organized front desk area that reflects professionalism
Skills
- Proven experience with office management, clerical duties, or administrative support roles
- Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional customer service skills paired with professional phone etiquette
- Experience with multi-line phone systems and calendar management software
