Position Summary

The Administrative Coordinator provides high-level administrative support to the Plant Manager, Plant Superintendent, and Sales Manager, ensuring efficient day-to-day operations and effective communication across the organization. This role requires discretion, organization, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Prepare, edit, and distribute correspondence, reports, presentations, and other documents
  • Serve as a primary point of contact between front office senior managers and internal/external stakeholders
  • Handle confidential information with professionalism and discretion
  • Assist with project coordination and administrative support for company initiatives
  • Manage expense reports, invoices, and budget tracking as needed
  • Support event planning, including company meetings, and executive events
  • Process vendor invoices accurately and in a timely manner. Verify purchase orders, receipts, and invoice details for accuracy. Communicate with vendors on billing discrepancies.
  • Monitor inventory levels of office supplies and reorder as needed.
  • Maintain organized and efficient office environment

Qualifications

  • 5–7 years of administrative support experience, preferably supporting senior leadership
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • Ability to handle sensitive information with discretion
  • Strong problem-solving skills and attention to detail
  • High School Diploma

Work Environment

  • Office - Requires a combination of sitting, standing and using hands for keyboarding, with light lifting occasionally.

Reporting Relationship

  • Position reports to the Plant Manager

Pay: $40,000.00 - $55,000.00 per year
