primary divisions: Service Delivery and Licensing Partnerships, each requiring tight
coordination across finance, operations, and client success.
Position Overview
We’re seeking an Accounts Receivable Admin to join our operations team. This role
supports CarbonWeb’s financial health by managing invoices, tracking payments, and
ensuring timely and accurate client billing across both service and license revenue streams.
The ideal candidate is detail-oriented, proactive in communication, and comfortable
working in a collaborative digital environment.
Key Responsibilities
- Generate and send client invoices for project-based and ongoing service work.
- Complete and submit client-required payment paperwork (e.g., vendor setups, W9s,
- payment portals).
- Follow up with clients regarding upcoming, due, and delinquent payments.
- Notify internal teams of delinquent accounts that may cause a temporary stop in services.
- Create and send overage invoices for clients exceeding their contracted monthly scope.
- Track contract terms to ensure invoicing aligns with active deliverables, renewal periods, or service pause through payments.
Qualifications
- Create monthly invoices for subcontracted work and maintain accurate records of pass-
- Reconcile partner license payments received vs. expected payments based on deal terms.
- Forecast referral commission payments tied to license deal closures and renewal
- Submit claims for missing or misapplied payments to ensure accurate partner revenue
- Experience: 1–3 years in accounting, billing, or administrative finance roles (service-based business experience preferred).
- Education: Associate’s or Bachelor’s degree in Accounting, Finance, or BusinessAdministration (or equivalent experience
Skills:
- Proficiency in modern accounting or invoicing software (FreshBooks, QuickBooks, orsimilar).
- Strong spreadsheet and data organization skills (Google Sheets / Excel).
- Excellent written and verbal communication skills.
- High attention to detail and ability to manage multiple active clients and timelines.
- Comfortable navigating CRMs and workflow tools (Monday.com, Salesforce, etc)
Compensation & Hours
- Hourly pay based on experience and skill level.
- Flexible scheduling between 25–40 hours per week.
