Position Summary
The Medical Assistant / Administrative Assistant supports the school health office by providing medical and clerical assistance to ensure a safe, organized, and efficient environment for students and staff. This position assists with basic health services, record keeping, and administrative duties under the supervision of the School Nurse and in accordance with district policies and state health regulations.Key Responsibilities
Health Office SupportAssist in providing first aid and routine health care to students under the direction of the School Nurse.
Monitor students who are ill or injured until they are picked up or able to return to class.
Maintain accurate and confidential health records, including immunization records, physical examination results, and medication logs.
Support the nurse with screenings (e.g., vision, hearing, scoliosis) and data entry.
Assist with communication between parents, school staff, and healthcare providers regarding student health needs.
Maintain medical supplies and ensure the health office is clean, well-organized, and stocked.
Greet and assist students, parents, and visitors in a professional and welcoming manner.
Answer phone calls, take messages, and route information appropriately.
Manage scheduling, correspondence, and filing for the health office.
Support general school administrative functions such as attendance tracking, mail distribution, and data entry as needed.
Assist with confidential documentation and maintain compliance with FERPA and HIPAA regulations.
Qualifications
Education & ExperienceHigh school diploma or equivalent required.
Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), or equivalent certification preferred.
Previous experience in a school, healthcare, or office setting preferred.
Knowledge of basic first aid and health office procedures.
Strong communication, organization, and interpersonal skills.
Proficient in Microsoft Office Suite and student information systems.
Ability to maintain confidentiality and work effectively with students, parents, and staff.
Demonstrated ability to manage multiple priorities in a fast-paced environment.
Physical Requirements
Ability to lift up to 25 lbs. occasionally (e.g., medical supplies).
Ability to stand, walk, or sit for extended periods.
Must be able to respond quickly to medical situations throughout the school building.
