What are the responsibilities and job description for the Special Event Manager position at Capital City Events?
Capital City Events is seeking a motivated professional with broad experience in the hospitality and destination management fields to join our Operations team. The Special Event Manager position requires a self-motivating candidate, with strong time management and service skills who can effectively coordinate a series of events for corporate and association clients within the Washington, DC area (candidate must live in the DC metro area).

Responsibilities for Event Managers include, but are not limited to:
- Clear, strong and timely communications with clients, hotel partners and vendors to review all program elements
- Analysis of program details and review of full contractual obligations
- Coordination and procurement of contracted activities, décor, entertainment, etc. with vendors
- Understanding of legal language in reviewing vendor contracts
- Management of total program including, but not limited to:
- Program specs, production schedule, vendor sourcing and contracts, BEOs, menu planning, floor pans, AV production, offsite venues, restaurants, activities, tours, décor, entertainment, transportation and event staff
- Accounting and budget management includes but is not limited to:
- Collecting client deposits, negotiating vendor pricing, approving payments, total consolidation of program costs, client invoicing, program P&L analysis
- Produce and maintain Capital City Events production schedule
- Oversee the design and production of custom printed materials
Job Qualifications
- Education: Bachelor’s Degree in Business, Hospitality, Communications, Marketing or related
- At least four (4) years of relevant experience as an Account Manager, Project Manager, Meeting Planner, Event Planner, or other client services role
- CMP or DMCP certifications encouraged
- Computer experience to include proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Adobe InDesign, Canva as well as Social Tables
- Thorough destination knowledge of the Washington, DC area with an eagerness to stay in tune with what is new and trending
- “Speak” the event industry language
- Passion to learn, grow and establish professional roots within a dynamic, fast-paced, team-oriented office
Additional Information
The position is full-time, with a flexible schedule. Hybrid work from home two days a week and office in Kensington, Maryland three days per week. Must be able to work at least one evening events per week and an occasional weekend in Washington DC, VA, MD. Private transportation is required.
