Responsibilities
- Manage and maintain executive calendars, including scheduling appointments, meetings, and events using Microsoft Outlook Calendar.
- Provide executive administrative support such as drafting correspondence, proofreading documents, and transcribing audio recordings.
- Coordinate projects and assist with event planning to ensure timely execution of company initiatives.
- Handle phone etiquette for multi-line phone systems and serve as the first point of contact at the front desk, delivering excellent customer service.
- Perform data entry, filing, and general clerical tasks to maintain organized records and office files.
- Utilize Office management software including Microsoft Office Suite, QuickBooks, and DocuSign for various administrative functions.
- Assist with bookkeeping tasks such as invoicing, expense tracking, and basic accounting procedures.
- Support office management activities including supply ordering, organization of office space, and managing office equipment.
- Ensure effective communication across departments through project coordination and timely updates.
Qualifications
- Proven experience as a Personal Assistant or in an administrative support role with relevant office experience.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Excellent typing skills along with proficiency in Microsoft Office (Word, Excel, PowerPoint), and data entry tools.
- Familiarity with QuickBooks, Microsoft Outlook Calendar, DocuSign, and multi-line phone systems is preferred.
- Exceptional communication skills with professional phone etiquette and customer service experience.
- Ability to handle confidential information discreetly and maintain a high level of professionalism.
- Experience in event planning, project coordination, bookkeeping, proofreading, transcription, and office management is highly desirable.
