Cape Fox Facilities Services is seeking a Grants Management Specialist to provide support of the National Institute of Health. 

The total hourly pay range for this exempt position is $40-$50 up to 40 hours per week.  This rate represents the company’s good faith and reasonable estimate of possible compensation at the time of posting.  In addition, for eligible positions we offer a variety of benefits including specified holidays, paid leave, health insurance, dental insurance, vision insurance, life and disability insurance, tuition reimbursement, as well as 401K with company match. This job will be posted until filled or withdrawn.

Duties and responsibilities include:

• Provide technical assistance developing and analyzing the organization's grant program.

  • Assist staff review annual grant progress reports and new grants for conformity to Institute policy, compliance with Federal regulations, and consistency with Standard Operating Procedures (SOP).

• Assist with reviewing grant applications and preparing responses.

  • Assist staff review and evaluate for accuracy and completeness competing and non-competing grant applications.
  • Assist staff review grant applications for policy and regulatory compliance and report issues.
  • Draft correspondence to address any administrative or management issues related to grant applications.
  • Assist staff advise applicants and grantees on financial and management issues relevant to their applications and perform corrections.
  • Initiate correspondence to grantee institutions regarding grant-related questions and problems, clarification of policy and procedures, or requests for additional information.

• Assist in analyzing and preparing reports to track status of awards and funding.

  • Review, revise and prepare budget spreadsheets in Excel to reflect current funding levels, perform data analysis and prepare reports based on data.
  • Conduct administrative and financial review of grant applications.
  • Coordinate simple funding actions that begin the grants/agreements awards process.
  • Prepare budgets for award in spreadsheet workbook, analyzing requested amounts based on allowability, allocability and reasonableness.

• Create and maintain a database for grant activities.

  • Maintain official grant file(s), prepare electronic documents and upload images directly into the appropriate IMPAC II eGrants file groups.

• Perform queries, conduct analysis and produce reports.

  • Prepare budgets for award in spreadsheet workbook, analyzing requested amounts based on allowability, allocability and reasonableness.

• Provide support and routine updates to staff.

  • Apprise staff of issues and problems that could cause grant awards to be late or delayed.
  • Communicate with appropriate Program Officer and Grantee Sponsored Research Administrator when questions arise. 
  • Collaborate with staff to use guidelines and policies for specific situations utilizing NIA, NIH and HHS grants administration sources.
  • Bring to attention of staff areas needing additional policies or procedures and contribute comments and suggestions on new policies, revisions, justifications for changes, etc.
  • Provide advice to program staff, applicants and grantees on administrative and business management issues.

• Identify grants that are ready for final processing.

  • Work with staff on pre- and post-award activities, including the preparation of grant awards, work products and documents related to awarding grant awards; approved pay plans for awarding grants.
  • Collect and assemble documentation on grant applications that have been selected for funding for review and approval.

• Review and assemble completed documentation and identify pending issues or changes.

  • Resolve grant-related issues, working with scientific and administrative personnel and with similar staff of grantee organizations.

• Develop procedures for the grant review and approval process.

  • Revise terms appropriate to reflect budget adjustments and policy concerns.

Qualifications:

Specific Qualifications:

All support positions require a minimum of a B.A. or B.S. degree.

• The education, skills and relevant years of experience required for each support position are consistent with those identified as the minimum requirements for the labor categories specified in the contract.

Other Requirements:

• This requirement is for one Full Time Equivalent employee, consisting of 1920 hours each (excluding Federal Holidays)

• Work will be performed up to 40 hours per week during normal business hours, Monday-Friday, excluding Federal holidays.

• However, work can run past business hours and flexibility will be needed, and the employee will be responsible for scheduling.
