Position Description

DEFINITION:

To provide administrative support for CFCC’s Apprenticeship and Work-Based Learning Programs within the Economic & Workforce Development Division. The Apprenticeship Coordinator will support day-to-day program operations, student placement, and compliance reporting with a positive, solutions-oriented approach. This position works collaboratively with students, CFCC faculty, staff, and industry partners to ensure effective coordination and documentation of all apprenticeship and work-based learning activities.

This position is based on the Downtown Wilmington campus with visits to other campus sites.

SUPERVISION RECEIVED AND EXERCISED:
  • Receives general supervision from the Director, Apprenticeships

Duties & Responsibilities (Essential Functions)

ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS:
Essential and other important responsibilities and duties may include, but are not limited to, the following:

Essential Functions:
  • Handles all administrative functions related to apprenticeship registration, documentation, and compliance with ApprenticeshipNC and other regulatory agencies.
    • Track and maintain accurate apprenticeship data, including student placements, progress, and completion information.
  • Utilize the NCRAN system and other college databases to input, monitor, and report apprenticeship data.
  • In coordination with industry partners and internal stakeholders support student placement in apprenticeship programs.
  • Support marketing and outreach efforts in collaboration with the CFCC Marketing Department and Career Services to promote apprenticeship opportunities to students and faculty.
  • Maintain up-to-date program files, contracts, and related documentation in compliance with college and state policies.
  • Support logistics for student information sessions, orientations, and related apprenticeship events.
  • Serve as a liaison between students, faculty, and employers to ensure alignment of work-based learning objectives, job expectations, and program outcomes.
  • Track work-based learning applications, student hours and timesheets, and maintain accurate and up-to-date program documentation and records.
  • Ensure compliance with institutional policies, state/federal regulations, and accreditation standards related to work-based learning programs.

Other Important Functions:
  • Prepare correspondence, reports, contracts, forms, and other documents as assigned.
  • Verify and review forms and records for accuracy, completeness, and compliance with established policies.
  • Perform related duties and responsibilities as required.

Qualifications

QUALIFICATIONS:
Knowledge of:
  • ApprenticeshipNC procedures and processes.
    • Principles and procedures of record keeping.
    • Basic principles of business letter writing and report preparation.
    • English usage, spelling, grammar and punctuation.
    • Modern office procedures, methods and computer equipment.
    • Basic word processing methods, techniques and programs. (Microsoft Office software; Word, Excel, PowerPoint and Access) Basic mathematical principles.
Ability To:
  • Interpret and apply the policies and procedures of the function to which assigned.
  • Respond to routine inquiries and requests for information.
  • Maintain effective audio-visual discrimination and perception needed for: making observations, communicating with others, reading, writing and operating assigned equipment.
  • Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include the following: standing or sitting for extended periods of time and operating assigned equipment
  • Communicate clearly and concisely, both orally and in writing.
  • Maintain mental capacity, which allows the capability of: making sound decisions and using good judgment
  • Exercising initiative in the completion of work.
  • Maintaining confidentiality as appropriate.
  • Demonstrating intellectual capabilities.
  • Coordinate work assignments with others.
  • Work independently in the absence of supervision.
  • Establish and maintain cooperative-working relationships with those contacted in the course of work.
EXPERIENCE AND TRAINING GUIDELINES:
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Minimum Education/Training:
  • High school diploma or equivalent.

Minimum Experience
:

  • Three years of progressively responsible administrative experience, preferably in an educational or workforce development setting.

Preferred Education/Training, Experience, Skills
:

  • Associates degree with administrative experience is preferred.
  • Experience working with apprenticeship or workforce training programs.
  • Familiarity with NCRAN or similar data management systems.
  • Strong organizational, communication, and customer service skills.

  • Candidates who have obtained their education outside of the US and its territories must have their academic degree(s) validated, at their own expense, by an outside credential evaluation service as equivalent to the Baccalaureate or Master's degree conferred by a regionally accredited college or university in the United States.
  • To claim veterans’ preference, all eligible persons shall submit a DD Form 214, Certificate of Release or Discharge from Active Duty, to Human Resources during the application process. Human Resources will verify eligibility.
