Position Overview
The Office Coordinator will work closely with our Office Manager, company owner, field technicians, customers, inspectors, and other members of our team.
This position plays an important role in keeping projects organized, customers informed, permits moving, and our day-to-day office operations running smoothly.
The ideal candidate is comfortable working in a fast-paced environment, enjoys helping customers, communicates well, and takes ownership of their responsibilities without needing constant direction.
Responsibilities
Responsibilities include, but are not limited to:
- Answer incoming phone calls and provide friendly, professional assistance to customers.
- Help schedule service calls, appointments, inspections, and other company activities.
- Maintain timely and professional communication with customers throughout their project or service call.
- Prepare, submit, organize, and track electrical and related permits.
- Coordinate inspections and ensure permits are properly closed out upon project completion.
- Maintain accurate customer and project information within our office software.
- Assist with converting approved estimates and completed work into invoices.
- Assist with customer follow-up, outstanding paperwork, and project closeout.
- Communicate with electricians and field staff regarding scheduling, project information, customer requests, and job documentation.
- Assist the Office Manager with general administrative responsibilities.
- Assist the owner with scheduling, correspondence, documentation, and other administrative needs.
- Assist with bank deposits and basic office financial tasks as needed.
- Help improve office procedures and organization as the company continues to grow.
- Take on additional responsibilities as experience and knowledge of the company increases.

Qualifications
- 1–2 years of office administration, customer service, or related experience preferred.
- Strong computer skills.
- Proficiency with Microsoft Office.
- Excellent organizational and time-management skills.
- Professional telephone and email communication skills.
- Ability to reliably commute to our Marstons Mills office.
Schedule
- Full-time
- Monday through Friday
- Approximately 8:00 AM – 4:00 PM
- In-person position
Compensation
Compensation is based on experience and qualifications.
