GENERAL STATEMENT OF RESPONSIBILITIES:
The Office Assistant provides front-desk support, performs clerical and organizational work, and provides assistance with compliance efforts. This role supports students and visitors by maintaining confidentiality, ensuring efficient day-to-day operations, managing communications, and creating a welcoming and well-functioning office environment. This role involves on-site, office-based work on the West Barnstable, campus and is not eligible for remote work. Responsibilities also include frequent interaction with students, including those seeking support for mental wellness and related concerns.
EXAMPLES OF DUTIES:
- Greet and check-in students in a professional and welcoming manner.
- Answer and direct phone calls, take messages, and respond to departmental email.
- Process intake paperwork and ensure completion before sessions.
- Maintain the cleanliness and organization of the front desk and waiting area.
- Order and manage office supplies.
- Ensure forms, brochures, and patient materials are stocked and up to date.
- Communicate appointment changes or urgent issues with staff and students.
- Assist with interoffice communication and staff coordination.
- Adhere to all privacy laws and FERPA requirements.
- Ensure that confidential information is securely stored and only accessed by authorized personnel.
- Follow all department and college policies and procedures.
- Provide administrative support for the creation and management of the College's Annual Security Report and Clery Act compliance, including documentation, editing, data collection, and training file tracking.
- Serve as a member of the Clery Compliance Committee.
- Use Electronic Health Records (EHR) software and all college technologies effectively.
- Help troubleshoot basic tech issues for scheduling, telehealth platforms, or documentation systems.
- Assist with office coverage, program planning, and projects across all areas of Student Wellness
- Perform other related duties as assigned in support of the department.
Job Requirements:
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent.
- One year of administrative or front desk experience, preferably in a college or student services setting.
- Excellent interpersonal and communication skills, especially in working with students who may be in distress.
- Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Proficiency with Microsoft Office Suite and general computer systems; ability to learn campus software tools.
- Demonstrated ability to handle confidential information with discretion and professionalism.
ADDITIONAL PREFERRED QUALIFICATIONS:
Experience with compliance-related tasks (e.g., Clery Act).

Additional Information:
COMPENSATION: $20.00 per hour for up to 18 hours per week during the Academic Year. Part-time, non-benefited, non-unit position.
