Administrative Assistant

About the Role
We’re looking for a proactive and detail-oriented Administrative Assistant to join our team! This role combines administrative, financial, and operational responsibilities — supporting everything from accounting and vendor management to meeting coordination and marketing efforts.

Key Responsibilities
Accounting & Mail Handling
- Retrieve and process incoming mail and make deposits as needed
- Accounts Payable
- Record payments and maintain accurate financial records in QuickBooks Online
- Follow up with client accounting teams on outstanding invoices
Meetings & Communication
- Record and distribute meeting minutes
- Track and follow up on open action items
- Assist with scheduling meetings and maintaining calendars
Sales & Client Support
- Monitor the sales email inbox and respond or escalate appropriately
- Responsible for estimating, ordering, and invoicing requests
- Handle customer service inquiries as needed
Licensing & Vendor Management
- Add or adjust Microsoft 365 and ESET licenses per technical team requests
- Maintain clear communication with vendors
- Confirm order details, track shipments, and handle RMAs or returns
Ordering & Inventory
- Process approved orders, create invoices, and coordinate with vendors
- Receive and log inventory in and notify the technical team
- Resolve shipment issues and arrange replacements or corrections
Estimating & Invoicing
- Request vendor quotes and create formal client estimates in QuickBooks Online
- Apply correct markups and taxes; finalize and send estimates for approval
- Assist with monthly client billing and credit card processing
Marketing & Social Media Support
- Draft social media content and manage posting schedules
- Assist with website updates and marketing campaigns (Mailchimp, ad scripts, video support)
Additional Support
- Research and onboard new local vendors
- Submit membership applications and manage renewals
- Handle warranty claims and RMA requests
Qualifications
- Proficient in QuickBooks Online
- Reliable transportation for a variety of errands and mail drop offs
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks and priorities
- Self-starter with initiative and problem-solving ability
- Experience with Microsoft 365 and Autotask preferred
- Familiarity with Mailchimp and social media platforms
- Familiarity in the tech industry a plus
Salary : $45,760 - $52,000
