Job Title: Group Executive Assistant – Fixed Income

Location: New York, NY (Hybrid – 4 days in office / 1 remote day per week)

Position Summary

The Group Executive Assistant (EA) will provide high-level administrative and organizational support to multiple senior leaders within the Fixed Income division, including Managing Directors and Global Business Heads across trading, sales, and product management teams.

This role requires exceptional professionalism, sound judgment, and organizational skill. The successful candidate will thrive in a fast-paced environment, managing complex calendars, coordinating travel, processing expenses, and serving as a trusted partner to senior leadership. The Group EA will ensure the smooth execution of daily priorities, anticipate needs, and uphold the highest standards of confidentiality and service.


Key Responsibilities

Executive Support & Calendar Management

  • Provide comprehensive administrative support to multiple senior executives across various Fixed Income business lines.
  • Manage complex and dynamic calendars, ensuring efficient scheduling and coordination of meetings across multiple time zones.
  • Anticipate and proactively resolve scheduling conflicts while maintaining flexibility and professionalism.
  • Prepare executives for meetings by organizing materials, agendas, and background information.

Communication & Liaison Responsibilities

  • Act as the primary point of contact for internal and external stakeholders, maintaining a professional and polished communication style.
  • Draft, proofread, and format correspondence, presentations, and reports with precision and attention to detail.
  • Exercise discretion and sound judgment when handling highly sensitive and confidential information.

Travel & Event Coordination

  • Arrange and manage detailed domestic and international travel itineraries, including transportation, accommodations, and meeting logistics.
  • Coordinate internal and external events such as client meetings, conferences, and team offsites.
  • Ensure seamless travel execution and timely reconciliation of expenses upon return.

Expense Management & Administrative Operations

  • Prepare, process, and reconcile executive and departmental expense reports in accordance with firm policies.
  • Track and maintain accurate records of expenses, budgets, and reimbursements.
  • Identify process efficiencies in expense reporting and administrative workflows.
  • Support coordination of department-wide initiatives, meetings, and communications.

Team Coordination & Business Support

  • Collaborate closely with other Executive Assistants and administrative professionals across the Fixed Income group to ensure consistent and efficient support.
  • Partner with internal functions such as HR, Finance, and Operations to support cross-departmental needs.
  • Anticipate executive and team requirements, providing proactive solutions to streamline workflows.
  • Uphold a professional presence and serve as a role model for discretion, reliability, and teamwork.


Skills and Qualifications

  • Experience: Minimum 7–10 years of experience supporting senior executives in a corporate, investment banking, or financial services environment (Fixed Income or Markets experience preferred).
  • Technical Expertise: Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with Concur or similar expense management tools required.
  • Organization: Exceptional ability to prioritize, multitask, and manage time effectively in a dynamic, high-pressure environment.
  • Communication: Excellent written and verbal communication skills, with confidence interacting across senior levels and departments.
  • Professionalism: Demonstrated discretion, sound judgment, and commitment to maintaining confidentiality at all times.
  • Teamwork: Strong interpersonal skills, with a collaborative and service-oriented approach to internal partnerships.
  • Adaptability: Flexible, proactive, and able to pivot quickly in response to shifting priorities and demands.
