Job Summary:
The Corporate Office Receptionist is the first point of contact for clients, visitors, and staff at the Cantex Corporate Office. This role is essential for managing front desk operations, greeting guests, handling calls and messages, scheduling appointments, and providing essential administrative support. The receptionist plays a key role in maintaining a professional, welcoming environment for everyone entering the office.
The position is an in office role.
Key Responsibilities:
- Visitor Management: Greet, welcome, and direct visitors, clients, and deliveries to the appropriate staff or areas. Manage visitor check-ins efficiently.
- Communication Hub: Answer, screen, and forward incoming calls on a multi-line system, taking detailed and accurate messages as needed. Manage incoming and outgoing mail, emails, and faxes.
- Scheduling: Manage calendars and book appointments, meetings, and conference rooms.
- Administrative Support: Provide general administrative and clerical support, which includes basic data entry and managing office correspondence.
- Office Upkeep: Maintain a tidy, organized, and professional reception area and lobby area. Monitor and order office supplies to ensure adequate stock levels.
- Meeting Support: Assist with the setup and organization of meeting and conference rooms, ensuring they are clean and prepared. Coordinate catering setups and refreshments for meetings, as necessary.
- Other Responsibilities: May assist with facility-related tasks, such as coordinating maintenance requests or managing building access.
