Description

The Mortgage Processing Trainer is a key member of the Processing Department responsible for developing, coaching, and supporting new and developing mortgage processors. This position combines hands-on mortgage processing expertise with training and mentoring responsibilities to help processors develop the knowledge, skills, accuracy, and confidence needed to successfully manage a processing pipeline independently.

The Mortgage Processing Trainer reports directly to the Processing Manager and works closely with the Training Department as liaison between Processing and Training. This position helps ensure that training programs reflect the day-to-day needs of the Processing Department while also helping communicate processing trends, training gaps, and development needs

back to the Training Department.

This is a hands-on role that requires a strong understanding of mortgage processing, attention to detail, excellent communication skills, and the ability to coach others effectively.

Requirements

Essential Responsibilities

Processor Training & Development

  • Provide structured training and hands-on coaching to new processors throughout the onboarding and development process.
  • Deliver training on mortgage processing requirements, third-party documentation, borrower documentation, systems, workflows, compliance expectations, and departmental procedures.
  • Provide training on systems and tools used by processors, including Nano, Loan Docs, and other applicable processing resources.
  • Teach processors how to appropriately analyze and respond to conditions and understand their responsibilities throughout the processing lifecycle.
  • Shadow processors as they work to identify knowledge gaps, reinforce proper processes, and provide real-time coaching.
  • Adapt training methods and materials to accommodate different learning styles, experience levels, and areas of development.
  • Provide additional or remedial training when a processor needs further support before progressing to independent processing.

Training Reviews & Quality Oversight

  • Conduct Training Reviews (TRs) to evaluate the accuracy, completeness, and consistency of a trainee's processing work.
  • Establish and follow a phased Training Review schedule based on the processor's progress and demonstrated competency.
  • Use Training Review findings and day-to-day observations to identify trends, recurring errors, and opportunities for additional coaching.
  • Provide timely, specific, and constructive feedback to trainees and clearly communicate expectations for improvement.
  • Partner with the Processing Manager when significant performance or training concerns are identified.
  • Monitor trainee progress and ensure required training milestones are completed before transitioning processors to independent work.
  • Conduct quarterly Training Reviews of established processors across both Branch and Corporate Processing to evaluate processing accuracy, adherence to company procedures, and overall processing quality.
  • Review quarterly Training Review findings directly with the processor and provide coaching or clarification when opportunities for improvement are identified.
  • Partner with the Processing Manager to review quarterly Training Review results, identify recurring trends or department-wide training opportunities, and determine appropriate follow-up or additional training.
  • Maintain appropriate documentation and tracking of quarterly Training Reviews to support ongoing processor development and quality improvement.

Processing & Training Liaison

  • Serve as the primary liaison between the Processing Department and the Training Department.
  • Maintain a close working relationship with the Processing Manager to identify departmental training needs, recurring processing issues, and opportunities for process improvement.
  • Communicate identified training gaps and processing trends to the Training Department.
  • Collaborate with the Training Department to develop, update, and improve training programs, materials, job aids, and courses.
  • Help ensure training content accurately reflects current Processing Department procedures, system functionality, compliance requirements, and company expectations.
  • Provide feedback to the Training Department regarding the effectiveness and applicability of training materials and programs.
  • Assist with implementing new processes, system changes, and company initiatives by helping translate changes into practical processor training.

Production & Processing Engagement

  • Maintain a minimal processing pipeline, as assigned by the Processing Manager, to remain actively engaged in the loan process and maintain current knowledge of Processing Department procedures, systems, and industry practices.
  • Provide processing support for transitioning Loan Officers, processors, or other team members when appropriate.
  • Use hands-on processing experience to ensure training remains practical, relevant, and aligned with the realities of day-to-day loan processing.

Training Administration & Communication

  • Maintain accurate tracking of processor training progress, milestones, Training Reviews, and areas requiring additional development.
  • Monitor the Processor Training email inbox and manage training-related communications in a timely and professional manner.
  • Maintain appropriate documentation of training activities and trainee progress.
  • Record and archive training sessions and educational content when appropriate to provide ongoing reference resources.
  • Communicate trainee progress, challenges, and anticipated training completion timelines to appropriate stakeholders, including the Processing Manager and branch leadership.
  • Provide additional training sessions or targeted coaching based on individual or departmental needs.

Training Materials & Continuous Improvement

  • Assist in developing and maintaining current training manuals, job aids, reference materials, courses, and other educational resources.
  • Identify outdated, unclear, or ineffective training content and recommend improvements.
  • Ensure training materials remain aligned with current company procedures, mortgage industry requirements, system functionality, and Processing Department expectations.
  • Identify opportunities to improve the processor onboarding and development experience.
  • Use feedback, Training Review results, and observed processing trends to continuously improve training effectiveness.

Qualifications

  • Prefer 3 years of mortgage processing experience with demonstrated expertise in the processing lifecycle.
  • Strong working knowledge of mortgage documentation, processing requirements, and applicable compliance standards.
  • Demonstrated proficiency with mortgage processing systems, including Nano and XDoc.
  • Strong understanding of borrower documentation.
