Primary Duties & Responsibilities

· Serve as a primary point of general contact for the organization and provide quality administrative support.

· Answer phones, monitor general email and website inquiries, respond to routine inquiries, and route patient or organizational matters to the appropriate team member.

· Receive, date-stamp, and route patient applications and supporting documentation to the appropriate staff member.

· Review incoming applications

· Create and maintain patient files

· Perform administrative data entry and maintain assigned Excel spreadsheets, logs, contact lists, and tracking records.

· Coordinate transportation requests and communicate necessary information to appropriate Programs staff.

·· Check, organize, and distribute incoming mail.

· Compose and edit routine internal and external correspondence.

· Assist with scheduling, meetings, special projects, and occasional organizational events.

· Maintain general office organization and assist with routine office workflows and administrative forms.

· Perform other administrative duties as assigned.

Equipment / Computer Proficiency

· Phone and voicemail systems.

· Microsoft Office, particularly Excel and Word.

· Email, Internet, and electronic recordkeeping systems.

· Copier, scanner, and other standard office equipment.

Qualifications

· Minimum high school diploma; associate degree preferred.

· Minimum 3 years of strong administrative experience preferred.

· Nonprofit and/or healthcare administrative experience is a plus.

· Strong organizational skills and attention to detail.

· Ability to handle confidential patient and organizational information appropriately.

· Professional and compassionate communication with patients, families, community partners, and staff.

· Valid driver's license and reliable transportation for assigned office-related responsibilities.

Working Conditions

· This is an in-office position.

· Occasional evening or weekend hours may be required for special events(3-4x/year)

· Occasional light lifting of supplies, generally under 25 pounds, may be required for program or event activities.

Pay: $21.00 - $23.00 per hour
