Job Purpose
The Business Administration Associate supports the Business Administration department in executing core operational, HR, and administrative functions across the organization. This role ensures timely and accurate processing of HR transactions, supports recruitment and credentialing workflows, manages administrative coordination, and assists with organizational initiatives. The position serves as a key support role to the Business Administration Manager to maintain efficient day-to-day operations.
Essential Job FunctionsHuman Resources & Payroll Support
- Assist with employee onboarding and offboarding processes, including documentation, system setup, and compliance tracking
- Support payroll processing, including timecard coordination, audits, and issue resolution
- Maintain employee records and ensure accuracy and completeness of HR documentation
- Assist with benefits administration and employee inquiries
Recruitment & Hiring Support
- Coordinate job postings, candidate tracking, and interview scheduling
- Assist with candidate screening and reference checks
- Support offer preparation and new hire coordination
- Track recruitment metrics and hiring status
Credentialing & Compliance
- Assist with provider and staff credentialing, including application preparation and document tracking
- Maintain credentialing records and ensure timely renewals and compliance requirements
- Support audits and accreditation-related documentation
Administrative & Operational Support
- Manage incoming mail and distribute to appropriate departments
- Maintain census and organizational data tracking (e.g., headcount, staffing reports)
- Assist with document organization and departmental inbox management
- Support cross-functional coordination with HR, Operations, Research, and Finance teams
Marketing & Special Projects
- Assist with basic marketing initiatives, including coordination of materials and vendor communication
- Support patient satisfaction and internal communication initiatives as needed
- Provide administrative support for special projects led by Business Administration
General Responsibilities
- Perform other duties as assigned to support organizational and departmental needs
Qualifications & Experience
- Bachelor’s degree preferred (Business Administration, Healthcare Administration, or related field)
- 1–3 years of experience in administrative, HR, or healthcare operations role preferred
- Strong organizational skills with attention to detail and accuracy
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with HRIS or EMR systems preferred
- Strong communication and interpersonal skills
Working Conditions & Physical Requirements
- Primarily office-based role within a healthcare clinic environment
- May require travel between clinic locations as needed
- Prolonged periods of sitting, computer use, and data entry
- Occasional lifting of files or materials up to 15–20 pounds
- Requires ability to handle confidential information with discretion
