Compensation: $22-$25/hr

Availability: This role will be part-time, 16-20 hours/week.


The Administrative Assistant supports daily office operations and serves as a key point of contact for the workplace. This role reports to Human Resources and is responsible for maintaining office coordination, supporting employee experience initiatives, and ensuring a well-organized and welcoming environment. The position partners closely with other teams to support employee engagement and office operations.


Duties & Responsibilities:

  • Front Office Presence: Serve as the first point of contact for the office by welcoming visitors, managing incoming calls, and ensuring a professional and positive experience for employees, guests, and vendors.
  • Safety Engagement: Act as a visible presence at the front of the office and support workplace safety initiatives, including participation in the safety committee and maintaining awareness of company safety protocols.
  • Office Operations & Environment: Maintain a clean, organized, and fully functional workplace, including shared spaces such as break rooms and common areas, to support daily operations.
  • Inventory & Supply Management: Monitor, track, and coordinate the replenishment of office and break room supplies, ensuring appropriate stock levels and organized materials.
  • Workplace Hospitality & Readiness: Support day-to-day office readiness by ensuring the availability of refreshments, maintaining kitchen operations, and fostering an overall welcoming environment.
  • Employee Experience Support: Partner with the Executive Programs & Engagement Manager (EPEM) and Human Resources to support employee engagement initiatives and help foster a positive workplace culture.
  • HR Administrative Support: Provide administrative support to Human Resources and support general HR processes as needed.
  • Confidential Information Handling: Support company-related activities while maintaining confidentiality and discretion when handling employee information and sensitive materials.
  • Administrative Coordination: Provide general administrative support, including scheduling, coordination, and assistance with office-related processes as needed


Qualifications:

  • Minimum of 1 year of administrative, customer service, or office support experience; experience in a corporate or operations environment
  • Proficiency in Microsoft Office Suite, including Teams, Outlook, and Excel.
  • Strong ability to navigate web-based tools, conduct online research, and efficiently locate and utilize information across multiple platforms.
  • Ability to maintain confidentiality and handle sensitive or employee-related information with discretion.
  • Demonstrated reliability, including consistent attendance and the ability to follow through on recurring responsibilities.
  • Ability to prioritize tasks and manage time effectively in a fast-paced, interruption-driven environment.
  • Comfortable interacting with employees, visitors, and vendors in a professional and service-oriented manner.
  • Ability to adapt to changing priorities and support both office and warehouse environments as needed
