Summary

The Enrollment & Engagement Manager advances Camp Cho-Yeh’s mission: to be a place where Jesus Christ transforms lives through meaningful relationships and outdoor adventures. As a highly detailed, data-driven executor on the Advancement team, this role manages daily enrollment operations, delivers exceptional parent communication, and strengthens donor and alumni engagement.

This individual places a high priority on phone calls, emails, and Olark messages—setting the tone with a warm, Christ-centered, solutions-oriented presence. The ideal candidate is naturally curious, asks great questions, follows through without fail, and is passionately committed to filling beds at camp and deepening the emotional connection with camper families, summer staff, and donors.. This position requires strong communication skills, a relentless commitment to customer service, and collaborative partnerships with Marketing, Development, Programs, Retreats, and Administration.

Essential Job Functions:

Registration & Enrollment

  • Process camper registrations, cancellations, forms, scholarships, and payments with accuracy and urgency.
  • Maintain camper and family records within the registration system to ensure complete accuracy and data integrity.
  • Produce daily and weekly enrollment, pacing, and capacity reports for internal leadership.
  • Partner with Marketing and Programs teams to support enrollment growth, manage waitlists, and anticipate capacity needs.
  • Troubleshoot registration or payment barriers and guide families through solutions step-by-step.
  • Support check-in and check-out processes during summer operations.

Parent & Family Communication

  • Serve as a first responder to inbound calls, emails, and Olark messages, providing timely and Christ-centered customer service.
  • Conduct outbound calls for cancellations, incomplete registrations, scholarship follow-up, and enrollment nudges.
  • Ask clarifying questions to understand family needs, reduce friction, and move families confidently through the enrollment process.  Brainstorm potential improvements with the Marketing team. 
  • Communicate Summer Camp program details, policies, financial information, and next steps with clarity and warmth.
  • Resolve parent concerns with patience, professionalism, and a Christ-centered approach.
  • Provide regular touchpoints to high-referral camper parents and volunteer camp moms.  
  • Support part-time Camp Advocates with outreach event coordination and phone calls when needed.
  • Manage the fulfillment of the Auction Certificate program to meet strategic objectives.

Administrative & Office Operations

  • Collaborate across departments to ensure a seamless registration and donor experience.
  • Process payments, update customer accounts, and prepare financial summaries.
  • Support summer administrative workflows, including paperwork management, parent updates, and related logistics.
  • Serve as a hospitable front-desk presence when required, modeling biblical hospitality for all guests.
  • Maintain daily office operations, including mail processing, supply ordering, and workspace organization.

Reporting & Data Integrity

  • Own creation and distribution of enrollment-related reports, including capacity tracking, pacing trends, scholarship usage, donor touchpoints, and year-over-year comparisons.
  • Ensure reporting accuracy and provide data insights that inform decision-making and identify bottlenecks in the enrollment journey.
  • Maintain consistent excellence in data entry, organization, and confidentiality.

Donor & Alumni Relations

  • Build warm, mission-aligned relationships with parents, alumni, and donors.
  • Create donor and alumni engagement touchpoints through handwritten notes, phone calls, and personal texts. 
  • Support donor recognition efforts, alumni communication, and Advancement events as needed.
  • Manage Future Camper Club database and mailings to foster ongoing relationships with alumni and potential donors.

Other Duties

  • Participate in shepherding and discipling summer staff through growth groups, one-on-ones, and staff care.
  • Assist with summer staff recruiting, screening, and onboarding when needed.
  • Perform additional duties as assigned to support the overall mission and health of the ministry.

  • Strong interpersonal skills, coupled with strong written and oral communication skills
  • Excellent customer service abilities with the attitude of seeing each individual as having a unique story and an opportunity to interact with our mission
  • Experience with marketing or promoting products or services to various audiences
  • Experience working with all levels of staff, with demonstrated ability to establish trust and relationships with others.
  • Be self-motivated to complete tasks or projects on a timely basis, as well as juggle multiple tasks and projects simultaneously
  • Maintain a strong spiritual life and visible devotion to Christ.
  • Have the ability to use a wide range of the Microsoft Office Suite and Google Suite
  • Ability to learn new software, systems, and processes quickly and adapt to changes
  • Retain and grow the ability to self learn and apply learned concepts to new situations
  • Maintain attention to detail in the middle of incoming correspondence and tasks

EDUCATION and/or EXPERIENCE

Bachelor’s degree or equivalent from a four-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

TIME MANAGEMENT ABILITY

Ability to effectively manage their own time and have great attention to detail. Ability to show initiative and function as a self-starter.

WORK ENVIRONMENT

Shared office space with potential for a few days to work remotely. May be asked to work outside for events or summer check in or check out. Some weekend work for events and summer check in and check out required.
