Administrative & Communications Assistant (Full Time 40hrs/wk)
Reports to: Executive Director
Compensation: $16-$18/hour
Functions & Duties: The Administrative & Communications Assistant will perform secretarial and general office duties for the executive director and assist in managing the Chamber’s communication outlets (social media platforms, website, and email communications). This position includes clerical services for administrative department committees, including drafts and final copy for correspondence, minutes, reports, speeches and similar materials. They will schedule appointments for the director and Board of Directors. They will schedule committee meetings and will telephone committee members to remind them of such meetings. This position will maintain schedules of meetings of Chamber groups as well as maintain schedule of the Board Room for both internal and external group use.
- This person will have extensive contact with business leaders and the public by phone, email, and in person. Individual must provide professional, courteous, and knowledgeable image to membership, public, and staff always.
- Develops and distributes approved e-newsletter on a weekly basis
- Assists in develops and Maintains content on all Chamber associated social media platforms
- Assists with public relations for the Chamber. Writes and disseminates approved press releases on chamber activities and fosters good relations with media.
- Assists in the coordination of Business After Hours, Annual Meeting, Eggs & Issues and other member engagement events.
- Works on membership items (data collection, billing items, welcome letters, renewal letters, etc.).
- Assists with the coordination of member ribbon cuttings.
- Assist in staging Chamber ceremonies, providing information to government officials, planning, promoting, and supervising special events.
- Under minimum supervision, assists inquiries by answering questions, providing published literature, or directing them to the various needs through membership referrals.
- Maintains inventory of maps, brochures, and other information, keeping the lobby racks filled with member content in an orderly fashion.
- Maintain inventory of city directories and supervise their use by the public.
- Secondary support to the Finance Assistant, able to prepare monthly financial statements for review by Executive Director and Board Treasurer if needed.
- Secondary support to the Finance Assistant, able to supervise billing procedures, accounts receivable and membership records when needed.
- Perform other duties as assigned.
Requirements
- Possesses and demonstrates high standards of integrity, work ethic, trustworthiness, and personal responsibility.
- Must have excellent communication skills, ability to think creatively, take initiative, plan and help execute complex projects and programs.
- Must be able to set goals and take responsibility for achieving them.
- Proficiency in the use of computer programs including Microsoft Office (Outlook, Word, Excel) and social media platforms.
